We are seeking a reliable and detail-oriented Virtual Medical & Executive Assistant to support the clinic’s daily operations. This role involves a combination of patient administration (via EMR), appointment coordination, and executive assistant responsibilities to ensure smooth clinic operations.

The position is 20 hours per week, starting with an initial 2-month contract and transitioning to a month-to-month arrangement.

Manage patient sign-ins, check-ins, and appointment follow-ups.

Send out intake forms, treatment forms, and occasional superbills.

Reschedule patient appointments as needed.

Handle billing tasks (cash-pay only; no insurance claims).

Maintain accurate records within the Healthy EMR system.

Manage and organize Google Workspace (Docs, Sheets, Gmail, Drive).

Coordinate and sync calendars for clinic operations and executive tasks.

Provide administrative assistance to the founder, including scheduling and inbox management.

Perform general back-office tasks to ensure efficient workflows.

3–5 years of experience as a Virtual Assistant, Medical Administrative Assistant, or Executive Assistant.

Familiarity with EMR systems (Healthy EMR experience a plus).

Strong written and verbal communication skills.

Highly organized with excellent attention to detail.

Proactive, resourceful, and able to work independently with minimal supervision.

Comfortable in a startup/early-stage clinic environment.

Experience in telemedicine, healthcare administration, or medical practice support.

Background in billing (cash-pay model preferred).

Strong technical proficiency with productivity and scheduling tools.

$500 - $700 a month
