Job Description

A wholesale jewelry company is seeking a reliable and organized Administrative Virtual Assistant to support daily operations. The VA will manage calendars, handle vendor/business communications, conduct research, book appointments, and ensure follow-ups are completed in a timely manner. The role requires strong organizational skills, clear communication, and the ability to work independently while supporting company leadership and operations.

Key Responsibilities

    • Manage and maintain calendars, appointments, and schedules
    • Track and organize vendor, supplier, and business partner communications
    • Conduct online research and prepare summaries or reports
    • Book meetings and appointments with external stakeholders
    • Follow up with vendors, partners, and clients to ensure timely responses
    • Support general administrative tasks as needed

Must-Have Qualifications

    • Proven experience as an Administrative Assistant or Virtual Assistant
    • Strong organizational and multitasking abilities
    • Excellent written and verbal communication in English (clear, professional, neutral accent)
    • Proficiency with calendar management tools, email, and Microsoft/Google Suite
    • Ability to work independently and follow through on tasks without micromanagement
    • Comfortable working 9 AM – 5 PM PT (with flexibility if needed)
