Job Description:

The Executive Virtual Assistant will provide high-level administrative and client communication support to the Founder of a growing legal tech company. This role will focus on coordinating demo calls, managing the CRM, handling email correspondence, and following up on leads and prospects from conferences and networking events. The ideal candidate will be proactive, detail-oriented, and confident in engaging with law firm contacts both via phone and email.

Key Responsibilities:

    • Coordinate demo call scheduling with law firm clients
    • Manage and update CRM records (HubSpot)
    • Handle client communication via email and phone
    • Conduct follow-ups with leads and prospects from events
    • Track and respond to customer success inquiries
    • Maintain organized scheduling across PST and EST time zones
    • Support the Founder with administrative tasks to reduce workload bottlenecks

Must-Have Requirements:

    • Experience in client-facing roles with professional phone communication skills
    • Proven background in CRM management (HubSpot preferred)
    • Strong organizational and time management skills
    • Proficiency in Gmail, Slack, and HubSpot (Apollo experience is a plus)
    • Experience handling lead follow-ups and prospect nurturing
    • Ability to work in PST hours and adapt to occasional EST overlap
    • Professional demeanor and proactive approach to tasks
