Atomic Machines is on Earth to radically advance humanity’s command over matter.  Our mission is real-time bits-to-atoms manufacturing of anything at any scale, and to that end, we’re developing an entirely new digital micro-device manufacturing platform that is going to redefine how things are made, and do so while simultaneously enabling the rapid creation at any scale of new classes of machines – think medical micro-robotics, true lab-on-chip microfluidics, tunable antennas, ultrafast high-power and high-frequency RF switching devices and many more.  The first device we are building with our platform has exceptional large-scale product/market fit and commercial traction, and we are pushing hard to share it with the world.

Our offices are in Berkeley and Santa Clara, California.

About the role:

Atomic Machines is looking for a full-time Office Manager who is a multi-tasking extraordinaire and ready to take on anything to keep our team, office, and labs moving seamlessly.  This role has a variety of responsibilities, offering something different each day.  Based in our office in Berkeley, you will be responsible for creating a welcoming atmosphere, greeting guests, owning vendor relationships, ensuring we have the appropriate amount of supplies for our facility, and supporting the company’s growth however possible. Additionally, this role will manage the coordination of the interview process and other recruiting administrative tasks for Berkeley.  We’re looking for a special person who is excited about this kind of on-your-feet work, is customer-focused, hyper-organized, and able to creatively solve issues at our fast-paced startup!

What you’ll do:

    • Reception: Greet all visitors, ensure execution of NDAs, manage deliveries, order lunches (when needed), scan documents, manage all inbound mail and invoices, and track monthly operational utilities spend for the office.
    • Recruiter Coordination: Coordinate recruitment efforts by collaborating with multiple agencies and in-house recruiters to ensure a seamless and efficient interview process. Provide high-quality customer service to our candidates through being their initial point of contact, scheduling interviews, and facilitating communication between hiring managers and candidates. 
    • Event Planning: Plan and manage all social events such as lunch meetings, work dinners, off-sites, and team-building fun.
    • Vendor and Supply Management: Oversee the successful management of local vendors and contractors for routine and emergent building and machine maintenance.  Maintain all office supply inventory.
    • Office Support: Provide general support to the team on all office-related questions.  Handle employee requests with a high degree of customer service and work to ensure our environment is productive, fun, and inclusive. Improve organizational systems to efficiently handle our growing recurring and ad-hoc office needs.

What you’ll need:

    • 2+ years of office management experience, ideally in a similar-sized company or similar startup environment.
    • Resourceful, flexible, detail-oriented, and adaptable; no task is too big or too small.
    • Strong written and verbal communication skills and the ability to work independently and cross-functionally.
    • Excellent judgment and impeccable discretion, demonstrating the highest level of confidentiality.
    • Ability to act as an effective representative of Atomic Machines to diverse groups of people, including candidates, employees, visitors, vendors, and investors.  
    • Ability to adapt quickly to changing priorities; identify and anticipate issues or conflicts, and proactively recommend resolutions to the office team.
    • High EQ; Self-starter with an approachable “can do” customer service mindset and a positive attitude.
    • Solid experience with Google Workspace.
    • Ability to be onsite at our Berkeley office during all regular business hours.  
    • A mission-oriented drive with a passion for the tech we are building and excitement for being part of the team.
$85,000 - $120,000 a year
The compensation for this position includes equity and benefits.
