Axonify is seeking a highly motivated and experienced Workplace Experience Manager to join our People & Culture team. Reporting to the Director, Total Rewards & Operations, you will be responsible for creating and maintaining a seamless and engaging environment for all Axonifiers.
The ideal candidate is someone who has a passion for creating a positive and productive workplace experience. You will play an essential role in leading events, managing operations, and ensuring our employees feel engaged and supported. As the Workplace Experience Manager based in Waterloo, this role requires working onsite five days a week.
The impact you'll have:
- Act as the primary point of contact for all vendor relationships, including cleaning, sanitation, pest control, security, and office supplies (coffee, snacks, etc.).
- Conduct daily walkthroughs to ensure the office is safe, well-maintained, and fully stocked with necessary supplies.
- Coordinate with building services to quickly resolve any operational issues related to cleaning, HVAC, or lighting.
- Maintain seating design, prepare desks for employees, and update office décor for holidays and special events.
- Oversee office safety, act as the on-site First Aid and Health & Safety SME, and participate in the Health & Safety Committee.
- Manage incoming deliveries and mail, and provide support for outgoing shipments.
- Lead initiatives such as culture-building events, recognition programs, and wellness seminars to foster a positive workplace culture
- Act as an office cultural ambassador, fostering a sense of belonging, alignment, and professionalism in all internal and external interactions
- Lead the execution of all on-site, major company-wide social events.
- Build new hire engagement by organizing welcome kits and ensuring a welcoming onboarding experience.
- Assist with various components of employee onboarding.
- Manage the company events calendar, ensuring a balanced schedule of lunches, meetings, and social gatherings.
- Coordinate all logistics for on-site meetings, town halls, and departmental lunches.
- Oversee all event budget tracking and reconciliation.
- Provide logistical support for virtual employees who are visiting the office, including transportation and accommodation arrangements.
- Provide confidential administrative support to the senior leadership team as required.
- Manage the main office phone line and redirect calls to the appropriate team members.
- Act as the owner of all employee event communications and create a scheduling system for company-wide messages.
- Support the People & Culture team in the collection of employee experience feedback and data.
- Respond to employee concerns and feedback in a timely and appropriate manner.

The things you bring:
- 4+ years of direct experience in a combination of office management, facilities, and/or employee engagement roles.
- Proven experience in event design and execution, as well as a strong understanding of office administration and procedures.
- Exceptional time management skills with the ability to balance and prioritize multiple projects simultaneously.
- Demonstrated problem-solving techniques and a proactive, creative mindset for suggesting improvements.
- Must be extremely organized, detail-oriented, and able to work effectively under deadlines.
- Advanced knowledge of MS Word, Excel, Outlook, and PowerPoint.
- Excellent verbal and written communication skills with a proven ability to build strong relationships with vendors, employees, and leadership.
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and ability to operate a computer, and keyboard
- Regular lifting, moving, and storing of inventory up to 20lbs is required
- Occasional assistance in moving furniture to support event setup will be required in this role
