The Executive Assistant will provide comprehensive administrative support to the Chief Growth Officer (CGO), Chief Financial Officer (CFO), Chief Technology Officer (CTO), and HR Office Lead, enabling these executives to operate efficiently and strategically. This role will work under the supervision of the Sr. Executive Assistant. The Executive Assistant serves as a critical resource to ensure smooth communication, coordination, and execution of responsibilities across multiple executive offices.

We'll trust you to:

    • Provide day-to-day administrative support to the CGO, CFO, and CTO, ensuring seamless execution of priorities.
    • Manage and coordinate complex executive calendars, including scheduling meetings, appointments, and travel arrangements.
    • Handle and prioritize incoming communications (emails, phone calls, and mail), ensuring executives are informed, prepared, and responsive.
    • Prepare and edit documents, presentations, reports, and spreadsheets for internal and external audiences.
    • Provide administrative support to the HR Office Lead, including coordination of HR-related meetings, documentation, and communications.
    • Assist with expense reports, reimbursements, and invoice processing, ensuring accuracy and compliance with company policies.
    • Organize and coordinate executive-level meetings, conferences, and events—including logistics, agenda preparation, materials, minutes, and follow-up actions.
    • Conduct research and compile information as requested to support decision-making.
    • Maintain confidentiality and exercise discretion when handling sensitive information.
    • Foster collaboration and contribute to an inclusive and efficient team-oriented work environment.

You'll need to have:

    • Bachelor’s degree preferred.
    • Minimum of 3–5 years’ experience as an executive assistant or in a similar administrative support role, ideally within a fast-paced environment.
    • Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines.
    • High attention to detail and commitment to delivering accurate, polished work.
    • Professionalism, discretion, and a proactive, solutions-oriented mindset.
    • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel—advanced level), Outlook, and virtual collaboration tools.
    • Experience with Rudder or similar expense management systems.
    • Excellent written and verbal communication skills.
    • Ability to work independently while also contributing as a collaborative team member.
