We're looking for a proactive and tech‑savvy Executive Assistant who can keep our office running efficiently, support our leadership team, and spot opportunities to make things even better, especially by leveraging modern tools like AI. This is an in-person role based in Sherwood Park, AB. You’ll initially take on office and facilities responsibilities for the first 5–6 months and then transition fully into a classic Executive Assistant role. Throughout, you'll be at the heart of our team, ensuring people have what they need, leadership is supported, and operations are seamless.
This is an in-person role based out of our Sherwood Park, AB office.
In this role, you'll be expected to:
- Manage daily office operations, including receiving deliveries, maintaining supplies, restocking snacks and coffee, and creating a welcoming environment.
- Coordinate with contractors for office maintenance and upgrades (HVAC, flooring, kitchen, parking, etc.).
- Handle asset management—assigning equipment like laptops and monitors, updating our Asset Management Module, and applying QR labeling.
- Support health and safety initiatives by participating in Joint Health & Safety Committee meetings and implementing workplace safety improvements.
- Greet visitors, sign them in, and ensure they’re connected with their hosts.
- Provide administrative support to leadership including managing calendars, scheduling meetings, preparing agendas, distributing reminders, and overseeing meeting logistics.
- Book travel (flights, hotels, transport) and prepare detailed itineraries, for both in-office and remote team members attending off-site events or conferences.
- Assist in coordinating company events alongside leadership team members.
- Document and share meeting outcomes using AI tools (e.g., ChatGPT transcripts), maintain SharePoint records, update Excel trackers, and send action reminders.
- Share weekly office updates at Monday team meetings (e.g., building work, maintenance, parking, or road closures).
- Use and support tools including Microsoft Office Suite (Outlook, Word, Excel, Teams), SharePoint, BIStrainer, Expedia, and AI tools.

- Are organized and detail-oriented, with excellent time management skills.
- Take initiative and solve problems before they arise.
- Have strong interpersonal and communication skills, both written and verbal.
- Have experience in administrative, operations, or executive support roles.
- Are proficient in Microsoft Office tools like Outlook, Excel, Word, and Teams.
- Feel confident using everyday technology and have a genuine desire to learn new tools.
- Are curious about AI tools like ChatGPT, even if you haven’t used them yet.
- Love helping people and keeping things running smoothly behind the scenes.
Bonus points if you
- Experience with AI-powered tools.
- Familiarity with SharePoint or asset tracking systems.
- Previous experience coordinating office facilities or renovations.
$55,000 - $65,000 a year
Salary ranges are based on experience, reflecting the unique skillset each individual brings to the role.
