Our client is an entrepreneur, investor, and philanthropist based in Toronto, Canada. She currently runs her own Family Office and previously was in tech for a global organization for nearly a decade. 

As her Executive Assistant, you are resourceful, independent, and quick to problem-solve, often identifying issues before they arise. You can operate discreetly and with integrity for both big-picture and day-to-day tasks. You are an entrepreneurial, growth-focused individual who is comfortable in a fast-paced and intellectual environment.

This opportunity is split between two key functions:

    • 1. Supporting the Executive in her day-to-day life, and
    • 2. Supporting the Executive with the operational management of the Family Office 

    • Supporting the Executive 

    • Facilitating the management of an active calendar of professional and personal appointments.
    • Executing general activities, including running errands, package dropoff and pickup, preparing in-person meetings, and coordinating vendors.
    • Managing property management duties, including overseeing contractors, researching vendors for new projects, and maintaining services for multiple locations.
    • Assisting with event planning, including vendor management, logistics coordination, budget management, invitation management, and seamless execution.
    • Coordinating travel logistics by making all necessary arrangements, such as booking flights, hotels, cars, and other travel-related reservations, and creating itineraries.

    • Supporting the Family Office

    • Strategically supporting the Hiring Manager, from managing the day-to-day business administration and household operations to managing various special projects, including organizing life, tracking finances, and coordinating between their multiple properties.
    • Managing all family office investment tracking, tracking leads, and facilitating ongoing company updates. 
    • Managing routine financial tasks, such as creating budgets, tracking expenses, and handling financial transactions, liaising with relevant stakeholders.
    • Researching and managing gift-buying for celebrations, special occasions, and business-related corporate gifting.
    • Assisting with ongoing projects as required involving both the online and physical businesses.

What you bring to the table:

    • You have previous experience as an Executive Assistant, Personal Assistant, or Senior Administrative role. 
    • You have experience supporting senior-level executives. 
    • You have a valid Ontario driver's license and access to a reliable car.
    • You are available to work from Monday to Friday, and understand that some evenings and weekends may be necessary.
    • You have project management experience.
    • You are technically savvy and resourceful, and leverage technology to streamline your work and the leaders you support.
    • You are solution-focused and have mastered the art of anticipation, always thinking ahead and seeking out support when needed.
    • You are an effective communicator with strong written and verbal communication skills.
    • You are highly organized, have strong attention to detail and love creating efficient spreadsheet systems.
    • You are adaptable and able to go with the flow of an evolving set of priorities; shifting context isn't a challenge for you.
    • You are excited by the opportunity to make a significant impact and support all areas of a growing business.
    • You handle confidential information with a high degree of discretion and care.

The interview process:

    • Video screen with Agnes (Talent Advisor from Bloom)
    • 60-minute video interview with the Hiring Manager
    • 30-minute video interview with the Comms Manager
    • In-person interview with the Hiring Manager and a member from the Family Office
    • Reference Checks
    • Criminal record background check

Location

    • We are currently based in Toronto, Ontario. Due to the nature of the opportunity, elements of this role will require a mixture of remote and in-person work. There may be occasional domestic and/or international travel in the future. 

    • Your typical week will be Monday to Friday during EST business hours, however, some evenings and/or weekends may be necessary.
$70,000 - $100,000 a year
Additional compensation and benefits information:

- Annual Salary ranges from $70,000 to $100,000 
- Health benefits stipend/allowance
- 15 days of vacation

*We understand that this is a wide compensation range. We have crafted a wide salary range intentionally to hold space for a diverse range of folks with various levels of experience to be considered for this role.
