Hi, I’m Natalie Dusome, Founder and CEO of Poppy & Peonies, a fun and energetic brand that believes styles and function should co-exist. We’re passionate about creating practical pieces that help make life a little easier and lighten the load, literally. 

Building Poppy & Peonies has been a wild adventure. The journey began when my daughter Poppy was born and my accessories no longer worked with my new life as a mom, I needed bags with pockets and organization that looked cool and had functionality.  I couldn’t find it, so I decided to create it, and in 2015 Poppy & Peonies was born. 

We’ve come a long way in five years – from filling orders in my basement to appearing on Dragons’ Den, and now, expanding into new product categories and collaborating with some exciting influencers and brands. I’d be lying if I said it’s been nothing but smooth sailing, but thanks to our incredible community, we’ve never felt more loved and supported! 

We believe in our responsibility to care for our environment and we are passionate about preserving the health and welfare of our planet, and the animals that live on it. All of our bags are made from high-quality vegan leather, and our entire product line is vegan, cruelty-free, and PETA-approved. We ship our products plastic-free and we use a combination of recycled, compostable, and biodegradable materials to mitigate shipping waste, and we are constantly looking for new ways to make our products and supply chain more sustainable to reduce our carbon footprint.

About the Role

As Natalie's Executive Assistant, you’ll play a key role in providing her with the assistance she needs to stay focused on growing Poppy & Peonies, while maintaining balance in her day-to-day responsibilities.

In this dynamic and multifaceted role, you will serve as the right hand to Natalie, ensuring her time, priorities, and commitments are managed with precision and care. From overseeing her calendar and handling communications to organizing travel and preparing key materials, you will play a vital part in streamlining her day-to-day operations.

Your ability to anticipate needs, manage workflows, and maintain a high level of organization will be essential in supporting both her personal and professional responsibilities. You'll also assist with brand-building efforts across social media and travelling with her to provide on-site support at photoshoots, engagements and events.

The Opportunity

    • Scheduling and managing Natalie’s calendar, including appointments, meetings, and events, to optimize her time effectively.
    • Coordinating and handling communications by managing emails, drafting responses, and addressing inquiries.
    • Tracking and organizing tasks and priorities, ensuring deadlines, to-dos, and follow-ups are managed seamlessly.
    • Planning and booking travel arrangements, including flights and accommodations, and creating detailed itineraries for business and personal trips.
    • Facilitate the ordering, shipment and organization of products, props and other content tools.
    • Preparing documents and materials, including presentations, reports, and other essential resources.
    • Streamlining and maintaining order in processes and workflows across both personal and professional responsibilities.
    • Attending photoshoots and engagements alongside Natalie to offer seamless support and ensure all her needs are met.
    • Supporting Natalie in building and managing her personal brand through her social media accounts. 
    • Support other executive team members as needed. 

What You Bring to the Table

    • You have 3+ years supporting a high-level executive, entrepreneur, or public-facing individual in a fast-paced, detail-driven environment.
    • You are highly organized, detail-oriented, and capable of managing multiple priorities and tasks with ease.
    • You have excellent communication skills, both written and verbal, and can confidently handle professional correspondence.
    • You are resourceful and proactive, always anticipating needs and finding solutions before challenges arise.
    • You thrive in a hybrid role, seamlessly balancing in-person support with virtual tasks.
    • You have a valid driver’s licence and reliable transportation for managing personal errands and in-person responsibilities.
    • You are professional and trustworthy and can maintain the highest level of confidentiality at all times.
    • It would be amazing if you have experience working in a creative environment or industry, ideally with exposure to photoshoots or creative projects.
    • You are comfortable taking initiative and working independently while keeping communication open and clear.
    • You thrive in creative and collaborative environments and are driven to innovate and solve problems.
    • You’re a collaborative team player who can brainstorm with others.
    • You’re flexible and can adapt to changing priorities on the go. 
    • Social media management and content creation is considered an asset.

Location

    • This is a remote position with the flexibility to work from anywhere, but it requires monthly travel to accompany Natalie to photoshoots, events, and in-person engagements.

Salary and Total Rewards

    • Annual Salary ranges from $70,000-$90,000 CAD
    • 3 weeks of paid vacation per year
    • 5 additional flex days
    • Summer Fridays
    • $1,500 CAD annual health spending account
    • $250 CAD annual period & menstrual budget
    • $1,000 CAD annual allowance towards Poppy & Peonies product 
    • $400 CAD home office setup allowance
$70,000 - $90,000 a year
This salary is in Canadian currency.
