Hi! My name is Emma Hunt, and I'm the Head of People and Culture at Boxhub. As we embark on an exciting growth trajectory, employee and candidate experiences take center stage as vital contributors to the company's overall health and success, which is why I'm looking for an equally passionate and motivated People Experience Coordinator and Executive Assistant to take on a multifaceted role to support us in making Boxhub an enjoyable workplace, fostering a welcoming ambiance, and supporting our executive operations.

Boxhub is an e-commerce & logistics startup on a mission to revolutionize the way shipping containers are traded, transported, and used. Shipping containers are becoming the most sustainable and cheapest solution for many storage and building projects. We believe that giving our customers better access to containers, while improving the inherently broken supply chain, we can generate a substantial positive impact and help save thousands of tons of CO2 per year.

Your Mission

Office Operations (30%)

    • Providing an office experience that enhances people’s days by optimizing the environment and fostering a productive space.
    • Delivering a top-tier guest experience for our investors, interviewees and other guests who need welcoming.
    • Organizing and optimizing office storage, keeping the space clean and tidy, and creating accessible documentation for employee needs.
    • Prioritizing health and safety by ensuring the office space is in compliance and leading the Joint Health & Safety Committee.
    • Managing suppliers and supplies such as building management, maintenance, stationery, groceries, and anything needed for the office.

People Operations (50%)

    • Assisting in onboarding new employees by scheduling learning and introductory sessions, setting them up in our HRIS & benefits systems and organizing equipment, swag and where they’ll sit.
    • Driving events coordination, from coordinating team offsite events to in-office socials and industry events.
    • Supporting our performance management lifecycle by deploying review cycles in our HRIS, setting up manager meetings and producing salary and stock option increase letters.
    • Updating and maintaining our HRIS (Hibob) to ensure employee details are up to date, policies that need signing and making sure we’re using the system to it’s full potential.
    • Booking travel and accommodation for team learning trips, we regularly send our people on to support their L&D of the shipping container industry.
    • Providing team support wherever needed, from interview scheduling to producing travel and employment letters.

Executive Assistance (20%)

    • Managing the CEO's calendar and schedule and conducting daily huddles to optimize scheduling and understand CEO priorities.
    • Support the CEO on ad-hoc tasks, from booking travel and registering for conferences to doing research.

What you bring to the table

    • You’re experienced in office administration and coordination. You’ve helped an office run smoothly and have jumped into supporting the team and collaborating cross-functionally.
    • You’ve been exposed to or have direct experience with people & culture-related support.
    • You've supported a leader in managing their time and know how to uncover priorities.
    • You’re organized and prioritize well, asking the right questions and being proactive.
    • You value employee experience and have crafted exceptional employee experiences.
    • You can adapt to the fast-moving environment of an early-stage startup where priorities pivot; you have to context switch daily, and some processes are still to come.
    • You understand the importance of health & safety. You are keen to learn about workplace safety by gaining your joint health and safety committee (JHSC) certification (bonus points if you’re certified already!)
    • You value inclusion, equity, and belonging and embody them through your work and interactions with different people.
    • Note: This is a hybrid position in Toronto that requires you to be in the office three days a week.

    • 45-minute interview with Emma Hunt (Head of People and Culture) & Simran Sidhu (People & Culture Advisor)
    • A short take-home exercise to assess your approach to supporting teams
    • 30-minute interview with Max Birner (CEO)
