SUMMARY:
BPM is seeking an Executive Assistant to support its Chief Executive Officer (CEO). The Executive Assistant will provide high-level administrative support for the CEO to ensure efficiency to accomplish key tasks and initiatives. This individual will be responsible for a wide range of administrative tasks, including management of complex calendar and scheduling requirements, tracking key deliverables, coordinating meeting information, and managing follow-up in a timely manner. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal candidate will be a proactive problem solver with meticulous attention to detail and exceptional communication skills. 

RESPONSIBILITIES:

    • Provide sophisticated calendar management for the CEO, including scheduling meetings, appointments, speaking engagements, and travel arrangements (domestic and international). Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements. Exercise discretion in committing time and evaluating needs.
    • Coordinate and manage travel, hotel and transportation arrangements, schedules, and all logistical requirements (domestic and international). Prepare preliminary itineraries for review and post final in Outlook. Provide timely air travel information to accounting for each trip and prepare post-travel expense reports.
    • Compile expense reports, track and maintain reimbursement of those expenses for the CEO. Receive, review, organize and track expense reports from the CEO.
    • Provide daily email coverage routing messages appropriately and handling routine inquiries. In concert with the Executive Leadership team ensure appropriate follow-up of requests and inquiries are fulfilled.
    • Work closely with the CEO to keep advised of time-sensitive and priority issues as well as informed of upcoming commitments and responsibilities and following up appropriately.
    • Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; assisting with designing and producing complex documents, reports, and presentations; collecting and preparing information and agendas for meetings with colleagues and external parties; composing and preparing correspondence; maintaining contact lists.
    • Maintain professionalism and strict confidentiality in all matters.
    • Anticipate CEO’s needs in advance of meetings, conferences, etc.
    • Coordinate Executive meetings and assist with staff meetings and events as needed.
    • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.

REQUIREMENTS/QUALIFICATIONS:

    • Bachelor’s degree in a relevant field along with at least (10+) years of related work experience.
    • 10+ years of direct work experience supporting sophisticated and curated Executive Office
    • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
    • Strong familiarity with project management software, such as Monday.com

PHYSICAL DEMANDS & WORK ENVIRONMENT:

    • Sitting/Standing/Walking: 100% of time is spent working at a desk.
    • Speaking/Hearing: Clear diction and acute hearing are necessary for effective communication with co-workers, customers, and outside agencies, by telephone and on video.
    • Vision: Ability to effectively use the computer screen and interpret printed materials, memos, and other appropriate paperwork.
