Your Responsibilities:
- Welcome visitors warmly and be sure they are comfortable.
- Be punctual in order to open up front desk operations at scheduled start time.
- Flexibility to work out of different local offices based on coverage needs.
- Build your Brooks knowledge and understanding of the company, culture, and brand to provide first class service in all interactions.
- Promptly answer incoming telephone calls, answering or referring inquiries to appropriate employees.
- Support office security by following standard procedures; monitoring visitor logbook, issuing visitor badges, and communicating with security officers.
- Assist in the new hire onboarding process by issuing access badges, arranging parking, ordering business cards, and setting up mailboxes.
- Coordinate employee parking and maintain parking access log.
- Maintain reception desk, lobby, nearby conference rooms, mailroom, supplies, and shipping areas in an organized, stocked, and presentable condition.
- Receive, sort, and route mail and shipments.
- Retrieve and route incoming faxes.
- Order, receive, and maintain office supplies.
- Perform administrative tasks such as preparing correspondence, documents, and data entry.
- Coordinate and arrange team meetings, including room reservations, ordering food, and managing the set up and clean up.
- Maintain company directories and lists.
- Update reference material and documentation used at reception desk as procedures change.
- Other duties as assigned.
Your Qualifications:
- High School Diploma or equivalent, required
- 1+ years of reception and/or administrative experience •Professional demeanor and cheerful presence
- Excellent interpersonal skills.
- Excellent verbal and written communication skills
- Demonstrated ability to work effectively and professionally with a wide variety of individuals and groups
- Demonstrated ability to handle complex customer calls
- Ability to work effectively in a fast-paced environment
- Ability to prioritize work with strong attention to detail
- Strong organizational skills and the ability to manage multiple tasks simultaneously
- Flexibility to handle unexpected projects and a demonstrated willingness to help others
- Proven ability to work as part of a team in a positive, productive manner
- Strong time management skills: ability to work well independently
- Competency with Microsoft products and willingness to learn new programs as necessary
- Maintain confidentiality and assume responsibility to carry out all assignments in a proficient, accurate, professional, and timely manner
- Punctuality is a must
- Ability to lift up to 50 pounds

Compensation: The pay range for this position, based out of the Brooks Seattle HQ, is $20.76- $27.96 per hour. Base pay offered will vary depending on job-related knowledge, skills, and experience.
