Your Job:
As the Footwear Executive Assistant (EA) you will provide day-to-day support to the Senior Vice President (SVP) Footwear. You will be responsible for executive scheduling, booking, and organizing travel and team-related offsites, assisting with communications, managing meeting logistics and notes regularly. VP and cross-departmental team assistance will be a key component of your role as you work with the footwear team and other departments so keen attention to detail is a must.
Responsibilities:
- Proactively manage the calendars of executive leadership, including scheduling meetings, arranging travel, and choreographing commitments
- Partner with senior leadership to project manage and support strategic initiatives that deliver measurable results across the business
- Coordinate and arrange meetings, including room reservations, ordering food, and managing the set up and clean up, responsibilities include taking meeting minutes, setting up AV equipment, and executing MS Teams
- Prepare and manage agenda and topics for key footwear meetings (VP level to all up Footwear Rally’s)
- Drafts and manages the development of internal Footwear communications for the SVP which include announcements, SharePoint sites, blogs, and All Footwear Team meeting presentations
- Manages employee and contractor onboarding and headcount processes and ensures departmental organization charts and seating charts are up to date
- Proficiency with PowerPoint and creating presentations
- Ability to anticipate demands of VPs and Senior Leaders and proactively support them
- Strong communication skills and ability to act as a voice for Footwear internally and cross-functionally
- Cultural Team Events: Sales Meeting, TRE, Olympic Trials
- Generate ideas to find ways to make processes more efficient, tracking expenses more user friendly, and improve day to day activity
- Champions and provides input into the strategy that originates from the offices of senior leadership
- Engage internal/external contacts with initiative and poise; develop and maintain strong working relationships with all
- Ownership of the team SharePoint site which includes curating key contact, ensuring the content is current, sharing key resources and assisting in onboarding of new hires
- Assist in the overall planning and execution for the successful delivery of Brooks Executive offsites and team offsites
- Coordinate travel arrangements, on-site event support, as well as administrative functions around attendee communication, agenda planning and document preparation for events
- Partner with executive(s) to drive business and culture initiatives across each team and help build team integration and collaboration
- Ownership of senior leadership expense reports
- Perform routine clerical and administrative functions such as preparing correspondence, documents, and data entry
- Support activities/team including travel visa processing and managing credit card expenses
- Manage confidential information with discretion, sound judgment and integrity
- Support and assist all other daily activities not mentioned above
Qualifications:
- Bachelor’s degree in a related field preferred
- 3+ years of executive-level support experience including travel, scheduling, expense management and general office support
- Experience and knowledge in supporting a large complex team
- Comfortable in ambiguity, filling in the blanks on a general direction or projects
- Desire and excitement to try new things and create memorable moments and experiences that elevate morale and team performance
- Enjoys working with a leader who has big ideas but needs help with execution and details
- Desire and ability to link strategy to internal communication (SharePoint site, ppt. decks)
- Strong interpersonal and communication skills with the ability to build trust and respect within the organization
- Proven ability to interact with all levels of employees including corporate executives, customers, partners, and vendors
- Demonstrated ability to handle complex customer and employee issues and requests associated with supporting senior leadership roles
- Exceptional communication skills including written and verbal
- Excellent organizational, time management and prioritization skills in a fast-paced environment to successfully manage multiple tasks simultaneously
- Ability to manage projects to include planning through execution with minimal direction
- Must be extremely detail-oriented and able to meet daily, weekly, and monthly deadlines
- Ability to work well independently and with a high degree of initiative to improve processes
- Intermediate to advanced level skills in PowerPoint, Visio, Word, Excel, and Outlook
- General systems aptitude and the ability to do reporting highly preferred
- Proven ability to handle confidential information professionally and discreetly

Compensation: The pay range for this position, based out of the Brooks Seattle HQ, is $73,515 - $100,000 per year. Base pay offered will vary depending on job-related knowledge, skills, and experience.
