CareMessage is seeking a Senior People Operations Manager to join our People Operations team. Reporting directly to the Director of People, this role drives operational excellence across the employee lifecycle, balancing daily operations with forward-thinking process improvement and innovation. You will advise managers, shape equitable policies, and ensure consistency while creating an exceptional experience for every team member. This is a role for someone who can think strategically and act operationally, maintaining the integrity of daily HR processes while designing and implementing improvements that lay the foundation for the organization’s long-term success. You will have a profound impact on CareMessage’s culture, supporting managers and team members in ways that advance our organizational mission. They understand the responsibility, impact, and privilege of the People Operations function, are energized by building systems and processes that scale and improve the employee experience, and bring lived experience managing teams, advising managers, and navigating complex HR situations. They hold diversity, equity, inclusion, accessibility, and belonging (DEIAB) as guiding principles in all decisions.
Core Responsibilities
- Human Resources Administration and Employee Experience (35%)
- Serve as a trusted advisor for complex employee questions about policies, benefits, payroll, and procedures
- Lead onboarding and offboarding, ensuring consistent, equitable, and positive experiences
- Partner with Finance and IT to ensure smooth provisioning and de-provisioning
- Conduct exit interviews, synthesize feedback, and recommend improvements
- Draft and update policies aligned with organizational goals, compliance, and DEIAB practices
- Recommend and implement solutions that improve processes and reduce pain points
- HR Systems, Data, and Compliance (25%)
- Ensure integrity and accuracy of HR systems (e.g., Sequoia One OS, Lattice, Lever)
- Develop and maintain reporting dashboards supporting KPIs such as headcount, turnover, engagement, and training completion
- Identify trends in data to guide leadership decisions
- Track compliance deadlines, manage documentation, and advise leaders on risk areas
- Partner with the Director of People to evaluate and improve systems and processes
- Payroll, Benefits, and Total Rewards (15%)
- Partner with PEO on payroll and benefits administration, including escalations and audits
- Provide guidance to employees on benefits and leave policies, escalating sensitive issues
- Lead annual open enrollment logistics, including communications and Q&A sessions
- Support compensation structures and total rewards planning
- Employee Engagement, Performance, and Culture (15%)
- Lead logistics and communications for performance management cycles
- Partner with managers to develop actionable, equitable feedback aligned with SMARTIE goals
- Support career development, ensuring equity and access to growth opportunities
- Coordinate professional development programs and track impact
- Partner on engagement and DEIAB initiatives
- Manage recognition and culture programs, recommending initiatives to enhance belonging and connection
- Organizational Activities (5%)
- Participate in team events, offsites, training, and culture-building activities
- Engage in ad hoc working groups supporting CareMessage’s mission
- Pursue growth and skills-based development opportunities
- Maintain accurate records of time, expenses, and engagements
- Exemplify C.A.R.E. values through mission-aligned work
- Other Duties as Assigned (5%)
- Support additional projects to advance organizational goals
Within 1 Month, You Will Have
- Completed onboarding and developed an understanding of CareMessage, our product, and our team.
- Developed an understanding of our existing frameworks.
- Connected with people managers and started to build critical relationships.
- Developed a relationship with our external PEO partners.
Within 3 Months, You Will Have
- Owned HR processes end-to-end with confidence and independence.
- Built strong relationships with managers and team members.
- Contributed to improvements in HR systems, reporting, and employee experience.
- Established ownership for people processes and developed comfortability working in our systems and tools.
Requirements and Minimum Qualifications
- Deep commitment to CareMessage’s mission and values
- 5+ years of experience in a senior role on a high-performing people operations or HR team.
- 5+ years experience advising managers, navigating employee relations, and guiding complex employee decisions
- 3+ years completing operational HR tasks like payroll processing, policy and compliance, employee onboarding, employee offboarding, supporting benefits and open enrollment, and managing leave balances.
- 3+ years managing and coaching people (This role does not currently manage people, but acts as an advisor to people managers. Understanding the the experience of people managers is critical.)
- Exposure to DEIAB-focused HR initiatives and brings experience managing and developing equity-based programs and systems
- Experience leading people operations processes in fully remote organizations
- Skilled at balancing operational excellence with forward-thinking problem-solving
- Exceptional interpersonal, analytical, and judgment skills
- Strategic thinker who can plan for long-term impact while executing daily operations
Preferred Qualifications
- Familiarity with HR platforms such as Sequoia One OS, Lattice, and Lever
- Experience recruiting for a B2B SaaS organization
- Experience in healthcare technology
$116,995 - $116,995 a year
