The North LA Assistant Property Manager plays a crucial role in managing daily property operations, focusing on delivering an exceptional guest and tenant experience with oversight of staff and property maintenance while working to exceed annual budgeted NOI at each property. This role supports the Property Manager in overseeing our iconic properties’ functioning, departments, maintenance, tenant relations, budget control, and administrative tasks. 

ESSENTIAL FUNCTIONS:

    • Attend property and operations meetings, including participation in the MOD program.
    • Assist with the oversite and management of third-party vendors including security, housekeeping, landscaping, and parking.
    • Foster teamwork, encourage exceptional performance, and address employee issues using an "Open Door" policy.
    • Ensure exceptional guest satisfaction by delivering extraordinary service across all departments, greeting guests according to Caruso Hospitality Standards and remain informed about all Caruso properties.
    • Address and resolve guest concerns promptly, ensuring a seamless guest experience while collaborating with property teams as necessary.
    • Effectively listening to, understanding, and clarifying concerns raised by employees and guests.
    • Communicating, both verbally and in writing, with all level of employees and guests in an attentive, friendly, courteous, and focused manner.
    • Recording and ensuring all requests from guests/residents/tenants in the designated data entry systems.
    • Soliciting employee feedback, and utilizing an "open door" policy to identify and address employee problems or concerns.
    • Leading by example and ensuring all Ambassadors meet Caruso grooming standards, to include clean and pressed uniforms that are worn in the correct manner.
    • Oversight and supervision of on-property execution of Caruso Signature, including but not limited to: directing and overseeing the process of entering Card Linking / Caruso Signature Member Registration, and communicating the benefits of the program to all tenants, residents, and guests.
    • Oversight of holiday related initiatives such as Santa photo and Easter photos with an emphasis on guest experience, maximization of revenue and expense control.
    • Coordinating guest and resident needs with other departments, as required, to ensure a seamless outcome.
    • Providing departmental training and guidance.
    • Develop innovative strategies to enhance the guest experience and provide guidance to Concierge team members for elevating property standards, including direct oversight of Concierge Services, and measuring improvement of guest satisfaction.
    • Remain knowledgeable of property guest demographics, habits, and seasonality to influence marketing strategy to drive traffic to the property and sales to its tenants.
    • Monitor property conditions, ensuring adherence to standards including but not limited to cleanliness, landscaping, property aesthetic, and building maintenance.
    • Support the Property Manager, plan, execute and take ownership of all on-property events to ensure they meet brand standards in both appearance and operation.
    • Assist in compiling tenant performance data for routine business updates, financial reporting, license agreements, and storage lease agreements.
    • Assist in the preparation of financial reporting, including monthly forecast and annual budgets.
    • Understand and analyze all financial reports and tenant leases, working with the Property Manager to identify and implement appropriate strategies to achieve the property’s targeted NOI budget and growth rate.
    • Monitor and assess tenant lease compliance including but not limited to store appearance, signage, collections, and operating hours.
    • In coordination with tenant services, support tenant build-out periods to expedite opening, contribute to and verify punch lists have been completed in a timely fashion, and ensure tenant RCD letters are delivered pursuant to the lease agreement.
    • Directly manage the coordination, installation, and construction of Holiday Décor.
    • Collaborate with the marketing department to promote property activations, initiatives, accurate operational signage placement/design, and programs including strategy for holiday activations (Bunny Bungalow, Santa House) to drive sales.
    • Initial review of invoice payables to ensure accuracy in billing and coding.
    • Implement and maintain property business plans and growth strategies to meet/exceed goals.
    • Complete triple bid assessments of all recurring services, generate and update service contracts to remain current and receive favorable pricing as well as spearhead capital expenditure projects.
    • Assist in the development and execution of the 5-year capital plan that focuses on asset preservation and life cycle costs, maintains a comfortable and safe environment, and reflects revenue enhancement and expense reduction opportunities.
    • Provide general administrative duties; electronic filing, data entry, reporting, order supplies and create name badges.
    • Assist with shipping and receiving mail/packages.
    • Management of the general property email; respond to guest inquires and feedback within 48 hours, escalating concerns as needed.
    • Prepare and send impound and reconciliation letters annually.
    • Management and maintain the Insurance database for properties, tenants, and vendors.
    • Manage all purchase orders and check requests.
    • Prepare tenant communications, memos, notices and defaults
    • Assist with accounts receivable collections
    • Responsible for organizing and maintaining all storage lease agreements with the store and cart tenants.
    • Order and manage inventory for special events.
    • Demonstrate professionalism at all times.
    • Other duties as assigned.

MINIMUM REQUIRED QUALIFICATIONS:

    • Exceptional customer service skills with a professional and friendly demeanor
    • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Teams, etc.)

    • Sitting up to 8 hours, walking up to 8 hours per day, and climbing stairs
    • Equipment used: phone system, computer, radio, bell cart or flatbed cart
    • Early morning, late nights and holidays may be required to support the operation and/or Concierge team needs.
    • Knowledge of the immediate and surrounding areas for off-site guidance and recommendations.
    • Ability to work nights, weekends and holidays as a Manager on Duty.

SCHEDULE:

    • This position requires flexibility in work hours and requires participation in the MOD schedule which includes the possibility of working early mornings, late nights, weekends, and holidays to meet the demands of the business.

    • Travel Requirements: the ability to travel to and from our Southern California properties within our portfolio is essential. Occasional additional travel may be required, the extent of which depends on the role or event
