The HR administrator will provide administrative support to the HR department in all areas. Your main administrative duties include maintaining personnel records, managing HR documents (e.g., employment records and onboarding guides) and updating internal databases. You will act as the first point of HR (administrative) related queries from employees and external partners.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Ensure the smooth management and ownership of the monthly Health Management process
- Manage termination requests
- Answer employment verification for past and current employees via emails and calls from external partners.
- Conduct and complete reference checks for all admin staff.
- Form and maintain personnel records received from HR, OPS and Recruiting and manage personnel records throughout the life span of all employees. Dispense information with the highest level of confidentiality to all necessary stakeholders as requested.
- Liaise with external partners such as insurance vendors and ensure legal compliance.
- Monitor HR Job Letter Distribution and prepare requests within three days of receipt and coordinate issuing of letters on completion.
- Ensure the accuracy of information entered for New Hires in the HRIS System using physical documentation for checks and balances.
- Update changes to personnel information in UltiPro (e.g., address, deductions).
- Conduct audits for eligibility and send information in a timely manner to recruiting and operations.
- Create report from the HRIS system for Payroll on the new hires.
- Follow-up with all outstanding police records for all staff and ensure completion of same by end of probation.
- Conduct or facilitate exit interviews for all staff.
- Create monthly reports/presentations on HR metrics such as turnover and termination rates.
- Prepare appeal hearing case notes
- Transcription of three hearing recordings on a weekly basis.
- Assist with leave issues as the need arises
- Participate in HR projects (e.g., Health fairs).
- Carry duties assigned by the Assist HR. Manager as required
- Any other duties assigned.
EDUCATION AND EXPERIENCE
- BSc. Human Resources Management, Associate degree in business administration, or its equivalent
- A minimum of 2+ years’ experience providing administrative/secretarial support at a senior level
- Proven Intermediate to expert knowledge and experience with MS Office, especially PowerPoint, Word & Excel.
- Experience in collaborating with teams to manage expectations.

- Must be able to work cooperatively and collaboratively on a team with others
