ChargeNet Stations is building the electric vehicle charging solution of the future. As more electric vehicles hit the road, our mission is to develop a charging experience that delivers low-cost renewable charging to quick-serve restaurant customers while providing much-needed reliability to the grid, all while providing a clean, super-friendly user experience.
 
Our cloud-based software optimizes and stacks solar, storage, and charging into one consolidated solution that can be seamlessly integrated into retail and restaurant point-of-sale systems. By further utilizing consumer data, we optimize customer electric vehicle charging, allowing for increased operational efficiency and station utilization.

Manage business-related tasks for the C-suite staff, while organizing and coordinating office administration and procedures. This position is ideal for an energetic professional who doesn’t mind wearing multiple hats, is experienced in handling a wide range of administrative and executive support related tasks and able to work independently. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. 
 
Reporting directly to the CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The Executive Assistant organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be creative and enjoy working within a creative, entrepreneurial environment.  
 
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 

Responsibilities

    • Managing calendars and schedules for CEO and other C-Suite leaders 
    • Developing intra-office communication protocols 
    • Preparing Board of Director related materials with heavy emphasis on PowerPoint skills and create notes from all Board Meetings
    • Ownership of Companywide Travel & Expense processing
    • They must be detail-oriented and good with numbers and proficient with accounting software and Microsoft Office applications (Word, Powerpoint, Excel, and Outlook).  
    • Coordinate with IT department on all office equipment and assist with telecom and network issues and maintain inventory logs 
    • Partner with HR department to organize and maintain office operations, policies and procedures for in office and work from home personnel
    • Some social media for the company's LI, Instagram and other feeds. Including driving blog posts from team members and increasing engagement
    • Provide administrative support for the CEO and other leaders, including answering phones, coordination of daily calendars, expense reports, travel itineraries, credential requests, letter/memo/presentation creation, etc.
    • Manage process for donation requests, process approved certificates, and coordinate delivery
    • Facilitate corporate activities that take place both inside and outside of the workplace, such as holiday parties, monthly luncheons, conferences, etc. 
    • Review and approve/deny companywide T&E and work with accounting/payroll for reimbursement 
    • Uphold a strict level of confidentiality
    • Point person for office maintenance, mailing, shipping & receiving, supplies, furniture, equipment, event coordination and errands.  
    • Facilitates maintenance of office equipment including cleaning, maintenance, and repairs 
    • Communicate with landlord on operating hours and issues

Qualifications

    • Minimum 3-5 years Office Manager experience  and 3-5 year executive support experience
    • Intermediate PowerPoint skills
