Job Summary: 

The Leasing Coordinator will play a crucial role in managing the Memorandum of Agreement process and ensuring all documentation and agreements are accurately prepared and recorded. This position involves preparing and filing the Memorandums of Agreement, confirming ownership, reviewing the lease agreement, and ensuring all recording instruments meet specific requirements. The ideal candidate will have a strong understanding of leases, contracts, deeds, acquisitions, and GIS systems, along with excellent communication skills and attention to detail. The Leasing Coordinator works in partnership with Membership Coordinator to communicate with member landowners and maintain their membership records in association with the position’s responsibilities. When needed, the Leasing Coordinator will also seek support from in-house legal counsel to seek guidance on customization of filing documents or agreement amendments.

Key Responsibilities

    • ·         Basic understanding of leases, contracts, and recording requirements
    • ·         Preparing and Filing Memorandums of Agreement with county recording offices across the United States
    • ·         Experience with real estate transfer documents, confirming ownership, and supporting documents needed for
    • Memorandum of Agreement
    • ·         Supporting Membership Advisors in identifying owners, confirming ownership, authority to execute for various organizations such as LLC, Trusts, and Non-Profits, and additional real property information
    • Attention to details to ensure that all recording instruments meet the specific recording requirements for each state, county, or other local jurisdiction
    • ·         Must be able to print documents in their home office for sending via mail or FedEx for in person signatures
    • ·         Review and experience in preparation of leasing agreements is a plus
    • ·         Understanding if heirship laws and property transfer tools
    • ·         Communicating with landowner members when wet signatures are required, to seek supporting documents to meet filing requirements, or to support the signing authorization on behalf of the organization enrolling with FCW
    • ·         Understanding of GIS systems, county mapping resources, and legal descriptions
    • ·         Work directly with the Membership Coordinator to assist with maintaining accurate membership records of Leasing Coordinators activities and landowner information within the CRM
    • ·         Managing and controlling original signature documents until MOA is recorded and transfer those documents to the FCW home office
    • ·         Ability to review and update standard operating procedures Collaborate with FCW legal counsel to resolve ownership questions
    • ·         Other duties as assigned

Qualifications

    • High school diploma or equivalent; Bachelor's degree preferred
    • Previous experience in land management or leasing is a plus
    • Familiarity with real estate practices, transfers, documents, and legal procedures
    • Strong communication and interpersonal skills
    • Proficiency in Microsoft Office, Adobe, DocuSign, and recording software like Simplifile
    • CRM experience, specifically, Salesforce is a plus
    • Ability to multitask and manage time effectively
    • Strong research and analytical skills
    • Licensed Notary Public
    • ·Certified Abstractor or Certified Title Examiner a plus

Previous Experience

    • ·      The ideal candidate will have experience in an abstract/title company, have worked in a County or State Recorders Office, or in a similar role that understands the documents and filing requirements of these offices
    • ·      Experience with land management in a legal or real estate setting
    • ·      Knowledge and experience of working with agricultural or forestland owners
    • ·      Experience with real estate law, reviewing, deeds, and other real property documents (trust documents, wills, probate)
    • ·      Previous experience working in a remote environment
$34 - $47 an hour
