CIC Tokyo is our first site located in Asia. Opened in October 2020 in one of the business districts of Minato-ku, CIC Tokyo is a one-of-a-kind innovation-oriented center in Japan with a total area of about 6,000 square meters on the 15th and 16th floors of the Toranomon Hills Business Tower. We provide a vast workspace with the capacity to house more than 250 companies. CIC Tokyo is centered on companies that aim to grow, and communities and services that are looking to accelerate their business growth and global expansion. Because of its influence in startup and innovation scenery, CIC Tokyo has frequent visits of VIPs such as Prime Minister Kishida, Governor Koike, and other business leaders in Japan. It is now recognized as a prestigious center of new businesses and startups by business leaders throughout the country.
YOUR DAY-TO-DAY WORK
Your daily responsibilities will include owning the recruitment processes for Asian CIC roles, planning interviews and communicating with candidates through email and in-person interactions.
Potential responsibilities will include:
• Working closely with the local and global HR Team.
• Coordinating with hiring managers to identify staffing needs.
• Driving the whole hiring process and managing complexity which arise during the hiring process.
• Maintaining relationships with external recruitment agencies, ensuring they receive timely responses. Additionally, managing the job boards and collaborating with representatives from these job boards to optimize our recruitment process.
• Maintaining an organized interview calendar while determining priorities, working with the schedules of other team members, juggling professional commitments, and adapting to last-minute changes.
• Facilitating the decision making process and ensuring interview teams are objectively assessing candidate competencies and the value added they bring to the team.
• Providing guidance, partnership, and mentorship to hiring managers and team members, consistently and proactively modeling our processes and procedures, as well as creative thinking on how candidates’ diverse skills and work experiences can enhance our teams.
• Conducting interviews - remotely and onsite - and contributing to hiring decisions.
• Providing a positive experience to candidates throughout the entire search process.
• Remaining connected with candidates through written and live interactions in a timely manner.
• Designing job descriptions and interview questions that reflect each position’s requirements.
• Acting as an equal partner within the global HR Team by managing various projects related to the team’s core functions and supporting other team members in their efforts e.g. global metrics, DEIB efforts (Diversity Equity Inclusion & Belonging), sourcing partnerships and others.

• Capable of leading recruitment processes with autonomy and collaborating with colleagues to gain input.
• Detail oriented, extremely thorough, and well organized with solid time management skills.
• Able to weigh priorities for all relevant teams and have the critical mindset to evaluate overall priorities for the organization.
• Enthusiastic about building trusting relationships with others and graciously guiding people, internally and externally, through the interview process.
• Exceptionally organized, skilled at solving process challenges and guiding teammates through change.
• Able to work independently while communicating effectively with team-members and candidates alike, treating everyone as an equal.
• Curious and excited to learn about the world of recruiting at CIC, and comfortable asking for help when faced with uncertain situations.
• Passionate about data, metrics and well-informed decision making in order to critically think about one's actions.
Moreover you:
• Possess a high degree of integrity and discretion: this role will have access to sensitive, private data, such as compensation information, performance review feedback, and other personal information.
• Communicate professionally and effectively, both verbally and in writing, with team members and other staff members and with candidates.
YOU HAVE
• At least 5+ years of professional experience in recruiting and/or at least 5+ years in an HR, recruiting or recruiting agency role.
• Excellent English and Japanese language skills (spoken and written).
• Excellent written communication, strong interpersonal skills, and a natural gravitation toward detail-orientation and organization.
• Familiarity with recruitment and project management tools and systems, Google Workspace apps, recruitment marketing, international hiring.
• Ability to legally work in Japan. CIC is unable to sponsor visas for this role at this time.
