This position is ideal for someone with strong administrative skills who is passionate about recruiting, onboarding, and creating a seamless employee experience from day one.
The HR Administrator – Recruiter & Onboarder is responsible for providing comprehensive administrative support to the Human Resources team while leading recruitment efforts and managing the onboarding process. This individual plays a key role in supporting internal teams and ensuring a smooth candidate-to-employee transition.
Essential Job Functions - Administrative Support
- Answer, screen, and direct incoming phone calls; take accurate messages and forward them via email to the appropriate staff
- Greet and direct visitors and candidates in a professional and friendly manner
- Perform general clerical duties such as photocopying, scanning, faxing, mailing, and filing (both hard copy and electronic)
- Maintain and organize digital and physical filing systems for efficient document retrieval
- Open, sort, and distribute incoming mail and packages
- Manage supply inventories and order office materials and equipment as necessary
- Support the planning and execution of company events, meetings, and training sessions
- Use Microsoft Teams and other collaboration tools to manage daily tasks, communication, and time blocking
- Demonstrate discretion and confidentiality when handling personnel or company information
Essential Job Functions - Recruitment
- Actively participate in weekly hiring meetings to identify staffing needs across departments
- Create and maintain accurate and compelling job postings for internal and external platforms
- Monitor job boards and company ATS to track applicant flow and ensure timely responses
- Conduct phone screens with applicants to assess qualifications, interest, and cultural fit
- Document candidate interactions, interview outcomes, and progression within the ATS
- Coordinate interviews with hiring managers and ensure all parties are informed and prepared
- Schedule candidate orientations, training sessions, and in-person or virtual onboarding meetings
- Initiate background checks and drug screenings, track status, and follow up with third-party vendors as needed
- Provide regular updates to the HR Manager on recruiting activity, candidate pipelines, and offer statuses
- Recommend creative sourcing methods or job board sponsorships when needed to support hiring efforts
Essential Job Functions - Onboarding
- Initiate the onboarding process for all new hires using the company’s onboarding platform
- Send personalized welcome emails with instructions, login information, and key documents
- Assist new hires in completing all onboarding documents, including Form I-9 and tax forms
- Collect and verify identification documents in compliance with federal regulations
- Complete Form I-9 verification through the company’s E-Verify or I-9 management system
- Ensure new hire information is accurately transferred into scheduling and HRIS platforms; troubleshoot any errors or discrepancies
- Communicate onboarding status and successful hires to the HR Manager and Hiring Managers
- Provide new hires with guidance on accessing schedules, mobile app tools, and company resources
- Follow up with new hires to ensure smooth integration during their first days and weeks
Essential Job Functions - HR Support and Compliance
- Maintain up-to-date and accurate employee profiles, including profile photos, emergency contacts, skillsets, attributes, and role-specific permissions
- Support tracking of driver eligibility by running initial and annual Motor Vehicle Reports (MVRs)
- Update and manage the company’s list of approved drivers; coordinate insurance additions/removals with provider
- Schedule and monitor results for pre-employment and random drug tests; follow up on any delays or concerns
- Assist employees with mobile app troubleshooting, scheduling conflicts, and availability updates
- Respond to employee inquiries regarding time-off requests, onboarding progress, or system access issues
- Support other HR functions and special projects as assigned, including audits, compliance checks, and policy rollouts
Qualification and Requirements
- Must be 18 years of age or older
- Must have a high school diploma or GED
- Must be able to provide credible professional references
- Must be able to provide I-9 Employment Eligibility Documentation to verify legal authorization to work in the U.S.
- Must be able to pass a background check
- 1–3 years of relevant experience in human resources, recruiting, administrative support, or a related field required
- Strong customer service orientation and ability to maintain a professional demeanor in a fast-paced, client-facing environment
- Proficient in spoken and written English; strong interpersonal communication skills
- Demonstrated computer proficiency, including Microsoft Office (Word, Excel, Outlook, PowerPoint) and collaboration tools (e.g., Teams)
- Familiarity with standard office equipment (printers, copiers, scanners, multi-line phone systems)
- Understanding of administrative procedures, including filing systems, document management, and scheduling practices
- Strong time management and organizational skills with the ability to prioritize effectively
- Demonstrates a high level of accuracy and attention to detail
- Strong problem-solving and information-gathering capabilities
- Dependable and punctual with a strong work ethic
- Ability to multitask, adapt to changing priorities, and work independently or as part of a team
- A positive, collaborative attitude and willingness to learn
$20 - $20 an hour
