The Operations Manager will be responsible for carrying out projects that ensure all staff, interns, and contractors have the tools, resources, systems, and policies that they need in order to achieve Civitech's ambitious goals.

What You Will Do: Develop and Disseminate Company-Wide Resources

    • Support the organization with a wide variety of operational needs and provide logistical cross-functional support and coordination.
    • Alongside our Chief of Staff and COO, develop new and improve existing internal processes, systems, and resources that allow for our organization to be more effective at growing and investing in our team.
    • Manage tools (such as Salesforce, Asana, Slack, Zoom, etc) and their licenses/ configuration/ integrations to ensure that they meet the needs of relevant departments. Design and maintain integrations between various systems, educate staff on new features and best practices, and set configuration standards.
    • Design and maintain company-wide information systems (such as google drive and intranet) and key operations team records (such as contracts, vendor list, tools list, etc). 
    • Support Chief of Staff and executive team in facilitating annual and quarterly goal setting; track and communicate company progress towards goals on a weekly basis.  
    • Write biweekly reports for staff and quarterly reports to external stakeholders about company achievements, learnings, and announcements.

What You Will Do: Facilitate Day-to-Day Operations Team Activities

    • Manage inbox and scheduling for COO.
    • Intake mail and distribute to relevant staff.
    • Prepare materials (presentation decks, written reports, project plans) and coordinate logistics for internal team meetings and key projects.
    • Project manage and work independently on short and long term projects as directed by the Chief of Staff or COO

About You:

    • 5+ years of relevant experience (operations, project management, administration, field or digital organizing, research, etc).
    • Organized and flexible, able to move multiple projects forward and meet deadlines.
    • Extremely detail-oriented and process focused, able to both design new processes and follow existing processes.
    • Excellent oral and written communication skills, able synthesize information from a variety of sources and tailor messaging for different audiences (Civitech staff, external stakeholders, etc).
    • Equally comfortable working independently and asking for help when needed.
    • Enjoy learning about, building, and iterating on productive and positive systems that make people and organizations work better.
    • Committed to leveraging technology and data products to help Democratic candidates run for office and win, empower progressive causes, and increase civic participation.
    • Ability to learn quickly and show up to help others when needed
The Operations Manager is on our Operations Team, and reports to the Chief of Staff.  The Operations Team ensures that Civitech’s internal operations are designed and executed in a manner that allows our employees to do their best work and the Company to overall to achieve its core objectives and maximize impact.

Civitech is headquartered in Austin, TX, with employees across the country. The Operations Manager can work in Austin or remotely in any US location. All employees are currently working remotely until it is safe to return to our office.  

Classification, Salary, and Benefits: Full-time, competitive salary commensurate with location and experience ($60,000 - $80,000 for Austin based candidates, with adjustments for some major metropolitan areas). Benefits include a company health plan with medical, dental, and vision insurance; four weeks paid vacation time per year; 10 days paid sick time; and a competitive company stock plan.
