This position is 100% on-site. Our office is located in Pinheiros-SP.
 We’re looking for an Administrative Analyst to support the daily operations of our São Paulo office. You’ll be the go-to person for handling correspondence, receiving deliveries, coordinating internal communications, and supporting the organization of internal events and team initiatives. Your work will help maintain a professional, efficient, and welcoming environment for both employees and visitors.

What You'll Be Doing

    • Manage the reception and distribution of physical correspondence and deliveries.
    • Monitor and respond to administrative emails, escalating topics to the right stakeholders when needed.
    • Ensure proper documentation and tracking of incoming and outgoing packages.
    • Act as point of contact for office visitors, vendors, and service providers.
    • Support the planning and execution of internal events, such as team buildings, happy hours, and office celebrations.
    • Maintain an organized and well-stocked office environment, coordinating supply needs with relevant teams.
    • Assist with calendar management and scheduling support for internal meetings or visitors when required.
    • Collaborate with People, Workplace, and Facilities teams to ensure smooth day-to-day operations.
    • Keep internal documentation up to date related to office procedures, deliveries, and communications.

What You Need to Succeed

    • Strong organizational and time-management skills.
    • Excellent communication skills — verbal and written — in Portuguese (and English is a plus).
    • Proactivity and a hands-on attitude to solve problems and manage multiple priorities.
    • Familiarity with email etiquette, basic office tools (Google Workspace), and reception protocols.
    • Ability to work independently while coordinating with different teams.
    • Attention to detail and a service-oriented mindset.

Nice to Have

    • Experience in administrative, reception, or office support roles.
    • Experience planning or supporting internal events.
    • Intermediate English (reading/writing emails).
    • Familiarity with logistics or courier processes.
