A critical member of the Deployment function, the Project Coordinator for New Store/Remodels is responsible for ensuring all transactional activities relating to the deployment of new stores/remodels to our customers is managed in full & on time. The role works with Account Coordinators to ensure all deployment costs are captured in sales orders for billing purposes, works with service partners (installers, expediters, etc.) to ensure all required documentation (site surveys, change orders, verification reports, etc.) is received in full and on time to ensure new store & remodel dates into each customer are achieved. The role escalates to Deployment Managers in a timely fashion, bottlenecks & constraints in the new store or remodel process to meet schedules at the first promise date. The role is supported by our global supply chain shared service office for the timely processing of Plan to Pay transactions in the global ERP toolset. Critical to the success of this role is the timely delivery of transactions to support third-party activities through the deployment process. The role works across several Deployment Managers to manage the service provider & customer interactions for each reference site, which is aligned with revenue target dates
 
Responsibilities:
·         Processes all Play to Pay (PtP) transactions in EXACT to support the deployment process of new store & remodel sites, this extends to site surveys, site verification & variation requests
·         Coordinates with third parties the timely execution of deployment activities to ensure new store & remodel dates are achieved to meet first promise dates
·         Escalates bottlenecks & constraints to Deployment Managers for escalation to builders & customers.
·         Works with our remote shared service supply chain function, for flex capacity to ensure all transactions are processed so that deployment activities are not delayed
·         Supports several Deployment managers at a reference site level, to ensure deployment dates are achieved in full, on time, and budget
·         Executes timely requirements to policy, for all third-party transactions
·         Where necessary, supports Finance teams in reconciling overdue accounts and ensures transactions are followed up for batching processes relating to service providers.
·         Works with internal functions & install providers to execute red-line reporting of new store activities
·         Closely works with the Deployment PM on administrative tasks such as tracker updates, following up with FEE’s for permits, and survey-related coordination. Communicates heavily with FEE on changes
·         Works with account coordinators to ensure all costs are captured on sales orders for billing purposes
·         Works with supply chain, ensures all HW is delivered to site in full on time to support install deadlines
·         Works with Deployment Managers, and gathers external documentation required to keep each install on track
·         Where necessary, supports account coordinators with documentation necessary for franchisees & third-party construction vendors
·         Works with shared services to ensure all PtP transactions are processed in full & on time
·         Works with the install, construction partners & finance to ensure no overdue invoices and prevent work schedules from being delayed
·         Aligns with Account Coordinators on customer coordination & communication
 
Qualifications & Experience:
·         3+ years experience in installation, deployment, or construction management fields
·         Commitment to excellence, high standards & customer service to exceed expectations
·         Strong communication skills, able to work to tight deadlines across a diverse group of external parties
·         Sound knowledge of ERP transactional processes which support Plan to Pay (PTP) processes
·         Excellent written and oral communication skills
·         Strong organizational, problem-solving, and analytical skills
·         Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
·         Good judgment with the ability to make timely and sound recommendations to management teams
·         Ability to work independently or as a member of teams to deliver on tight timelines
·         Experience working with remote offsite teams is an advantage
·         Ability to present dashboards & status reports with clarity to avoid surprises
·         Proficient use of Microsoft Office Toolsets (especially SharePoint & Teams collaboration apps)
·         The management of all transactional processes & tasks as they relate to deployment activities for PtP processes
·         The capture of all costs for deployment, freight & installation for invoicing per site, relating to new stores
·         Installers & construction teams to meet installation dates
·         Coordinators ensure all costs are recovered in sales order billing
·         Supply chain to ensure HW is delivered to the store
·         Creation of PO’s in EXACT for all deployment activities, e.g. site surveys, change orders, site verification
·         Reporting of deployment schedules and KPI dashboards
·         Escalation to Deployment Management of roadblocks, variations & change order requirements
