The Administrative Assistant role is an exciting and key role at Cogito that supports critical office functions to help maintain a happy and productive office environment. This role has a unique position within Cogito and touches many teams across the company. This person will be responsible for providing a high level of administrative support to the Chief Revenue Officer, Senior Vice President of Engineering and Senior Vice President of Client Services. This role will have a high impact in elevating company culture day-to-day, office operations and a variety of other responsibilities. This role will be reporting directly to the Senior Executive Assistant to The Office of the CEO.

Responsibilities:

    • Provide high level administrative support to the Chief Revenue Officer, SVP of Engineering and SVP of Client Services
    • Manage these executives’ calendars by proactively scheduling and prioritizing meetings, resolving schedule conflicts, and staying several steps ahead to maintain efficiency
    • Partner with Senior Executive Assistant to understand and support each departments’ business goals in order to assist with scheduling and prioritizing both internal and external meetings
    • Participate in each team’s weekly meetings and assist with projects to support each teams goals and objectives
    • Coordinate and plan travel for executives (domestic and international)
    • Greet visitors and guests when needed, creating a warm and welcoming environment
    • Assist executives with preparing materials and agendas for meetings
    • Organize, plan and coordinate team events, meetings, lunches, and offsites in conjunction with the Senior Executive Assistant, People Team and/or Office Coordinator, as appropriate
    • Provide coordinated on-boarding support along with the Office Coordinator, People and Talent teams for new hires in the executive’s departments to ensure a smooth and welcoming new employee experience
    • Act as the point person for each executive’s teams Coordinate annual client holiday gifts
    • Serve as a backup for the Senior Executive Assistant to the Office of the CEO and Office Coordinator
    • Participate in additional projects or duties as assigned

Requirements & Skills:

    • Bachelor’s degree and/or 5+ years of supporting executives
    • Experience coordinating across time zones and cultures
    • Superior communication skills; highly responsive and reliable
    • Demonstrated sense of urgency and responsiveness through proactive problem solving
    • Excellent organizational skills and well-honed attention to detail
    • Highly polished, warm and welcoming professional presence
    • Flexible and adaptable to rapidly changing priorities and different personalities
    • Tenacious attitude and willingness to see all work and projects through to completion
    • Experience partnering closely with sales executives
    • Ability to handle multiple tasks and meet tight deadlines
    • Ability to handle information with the utmost confidentiality
    • Ability to anticipate needs from all levels of the organization and proactively take action on these needs
    • Strong, resourceful and creative problem-solver
    • Positive, motivated and enthusiastic presence
    • Technology industry experience preferred
