Position Overview

As the Administrative Assistant, you will play a crucial role in ensuring the smooth and efficient operation of our office environment. You will be responsible for a variety of tasks, including mail handling, inventory management, conference room setup, front desk responsibilities, daily office oversight, visitor support, day porter oversight, supply restocking, shipping and outgoing mail handling, as well as assisting with special projects as required. This position requires someone who is highly organized, proactive, and customer-focused, with excellent communication and multitasking skills.

What you'll do

    • Mail Handling: Sorting and distributing incoming mail to the appropriate recipients.
    • Inventory Management: Keeping track of office supplies, snacks, and other necessities, and replenishing them as needed.
    • Conference Room Setup: Preparing conference rooms for meetings, ensuring they are clean, organized, and equipped with necessary materials.
    • Front Desk Responsibilities: Receiving deliveries, ensuring shipments are picked up promptly, and warmly welcoming visitors to the office.
    • Daily Office Oversight: Monitoring and attending to general office needs, ensuring a clean and functional workspace for all employees.
    • Visitor Support: Providing assistance and guidance to visitors, answering inquiries, and directing them to the appropriate contacts.
    • Day Porter Oversight: Checking completion of assigned tasks by the day porter to maintain cleanliness and orderliness of the office.
    • Supply Restocking: Refilling supplies in the kitchen and conference room fridges as needed, and ensuring adequate stock levels are maintained.
    • Shipping and Outgoing Mail Handling: Managing outgoing shipments and mail from C3, ensuring timely and accurate processing.
    • Special Projects: Assisting with any special projects or initiatives as required by management or other departments.
    • Other Duties as Assigned: Undertaking additional responsibilities and tasks as needed to support the efficient operation of the office.

What you'll need to succeed

    • Previous experience in office management or administrative support roles preferred.
    • Strong organizational and multitasking abilities, with keen attention to detail.
    • Excellent communication and interpersonal skills.
    • Ability to work independently and prioritize tasks effectively.
    • Proficiency in Microsoft Office Suite and other relevant software applications.
    • Flexibility to adapt to changing priorities and work in a fast-paced environment.
    • Customer service-oriented mindset with a proactive approach to problem-solving.
$15 - $15 an hour
This position is part time offering approximately 20 hours per week.
