In October 2021, we launched our new ‘Food Club & Opportunity Hub’ to expand efficient, impactful healthy food assistance with the on-site integration of other pathway programs. More recently, we announced a partnership with Dwelling Place to help address the affordable housing crisis here in Holland. In July 2023, we publicly launched our expansion of Lakeshore Food Rescue (www.lakeshorefoodrescue.org).

Position Details
Position Type: Part-time, Regular, 20-24 hours/week
Overtime Status: Exempt
Reports To: Manager, Finance & Business Operations
Direct Reports: none
Department: Business Operations
Primary Location: Food Club & Opportunity Hub
Compensation & Benefits: $18.50 - $20 hourly
Summary
The Business Operations Associate plays a critical role in the efficient functioning of the organization by providing support in planning, organizing, and overseeing various finance, facilities and information technology activities. Within accounting and finance, the role will be involved in data entry into our accounting system for revenue and expenses, and a variety of other accounting tasks.
Accounting Responsibilities & Essential Duties
- Ensure timely and accurate data entry for accounts payable into accounting software. Process and verify invoices, ensuring proper approvals are secured before payment.
- Manages the processing of employee expense reports and corporate credit cards, ensuring compliance with organization policies.
- Assist in the preparation of invoices and reports for external partners.
- Assist in the processing of employee expense reports and corporate credit cards, ensuring compliance with organization policies.
- Assist in the preparation of financial reports for internal use, including income statements and cash flow statements, to help management make informed decisions.
- Maintain organized and accurate financial records and documentation for auditing purposes and compliance.
- Assist with bi-weekly payroll preparation, ensuring timeliness of timecard submissions and accuracy of hours submitted.
- Assist in reconciliation between the donor development platform and accounting software in regards to contributions, pledges and sponsorship invoices.
- Provide support for financial projects, audits and other accounting related tasks as needed.
General Administrative Responsibilities & Essential Duties
- Support staff with routine technology needs such as email, printers, hardware, and shared drives.
- Coordinate with external Information Technology vendor for additional support needs.
- Responsible for procurement and purchasing of non-food items, such as office supplies and equipment.
- Support in smooth day-to-day operations of the office, including managing office supplies, and equipment.
- Schedule internal and external meetings within the Finance and Administration division including preparation of information, booking rooms, setting up virtual logins and audiovisual equipment and providing meeting materials.
- Collect and organize information for various reports and initiatives.
- Support with facilities on as needed basis including greeting contractors and service providers.
- Other duties as assigned.
Supervision Received
- Specific Direction: Receives detailed work instructions or guidance for performing repetitive tasks. Supervisor monitors progress and provides feedback or correction as needed to ensure that tasks are completed according to expectations.
Education & Experience
- No prior experience required
- High School Diploma required; or in place of a degree, equivalent years of experience
- Basic conversational Spanish proficiency desired
Qualifications
- Technical capabilities sufficient for accounting system use (ex. Database system experience).
- Strong attention to detail and task follow-through.
- Strong sense of urgency and ability to gain insight into the scope of projects.
- Accounting knowledge and experience preferred, or a willingness to learn.
- Proven time-management skills and ability to manage multiple tasks and projects at a time.
