Summary/Function:
Responsible for Branch Support department tasks, functions, projects and initiatives. Supports the Director of Branch Administration and CAO, Wealth Management, with the maintenance and tracking of ongoing projects, meeting planning, communications, and firm reference documents in support of effective and efficient operations.

Qualifications:
• Successful completion of the Securities Industry Essentials® (SIE®) Exam preferred or within 6 months of hire. Series 7/66 a plus.
• 2+ years’ operations or client service related experience (from a branch office and back-office environment a plus). Post-secondary education preferred.
• Solid knowledge of the securities industry, financial markets, products and client relationships, service, and expectations.
• Solid technology skills with Microsoft Office, Outlook, CRM and Teams. Experience with T1/LSEG, Envestnet, intranet and other applications and systems a plus.
• Excellent communication (written and verbal), proactive problem solving and client service skills.
• Ability to communicate in a clear and service-oriented manner using appropriate, professional language and grammar to effectively exchange ideas and information.
• Diverse people skills and the ability to proactively work both independently and collaboratively with others in a professional manner to accomplish work responsibilities and objectives.
• Ability to think creatively, adapt to change, manage multiple demands and competing priorities in a deadline-oriented environment.
• Strong organizational skills, attention to detail and accuracy.
• Team player who projects a professional and personable manner at all times.
• Follow policies and procedures. Maintain client and firm confidentiality.
• Ability to maintain regular, predictable attendance and to work overtime as needed.

Duties:
• Executes Branch Support initiatives by carrying out project research and data aggregation, organization, tracking, follow up, and scheduling as assigned.
• Sends internal communications including notifications, courtesy reminders, updates and other messaging as needed.
o Responsible for producing agenda and minutes for the monthly WM Updates call.
o Responsible for producing agenda and minutes for the monthly Branch Associates call.
o Responsible for the production of the monthly Bison Bulletin & the Year End Dates and Deadlines document.
o Responsible for sending targeted courtesy reminders and notifications to the field.
o Responsible for the quarterly “Service Excellence” recognition program and other internal recognition and appreciation efforts.
• Facilitates the ongoing maintenance and update of informational resources such as:
o Branch Admin/Support owned items on the Bison Exchange
o Branch Standardization and Record Retention guide (in partnership with other stakeholders)
o Branch Guide to Operations (in partnership with other stakeholders)
• Coordinates periodic review and enhancements to the Branch Guide to Operations.
• Coordinates Branch Support Department meetings, including but not limited to scheduling, meeting materials and minutes, and travel, hotel, and food as needed.
o Planning and onsite execution for the annual Branch Operations Manager meeting.
o Branch Associate Roundtable, Annual, Quarterly and ad hoc meetings
o Monthly Branch Associates Call, as noted above
o Monthly WM Updates Call, as noted above
• Troubleshoots and escalates operational needs from the field, to contribute to efficient and effective branch operations and client experience.
• Research and or escalates Branch and Transition Team operational needs to appropriate teams for resolution.
• Identify opportunities to innovate and streamline processes.
o Receives, identifies, and tracks suggestions for enhancements to services or processes from the Branches, Operations, Supervision and Compliance for further consideration by Operations and WM leadership in coordination with the Director of Branch Administration.
o Work with WM branch leadership and Operations managers to identify and address procedure and policy issues.
o Compiles requirements and outlines proposed changes to address identified efficiency needs, coordinates and tracks stakeholder review of proposed solutions
• Performs any other duties as assigned.
