We are a venture backed, quickly growing company looking for an experienced Executive Assistant to play a pivotal role in helping our CEO grow and scale the business.

Darkstore has developed a technology platform that allows brands to offer same-day or standard fulfillment and delivery out of 43 urban fulfillment centers across the United States, all with just a single line of code. Orders are automatically routed to the fulfillment location that provides the lowest rate for the delivery. Darkstore’s management team is comprised of experienced technology and logistics executives.

What We’re Looking For

    • As Darkstore grows, we are looking for amazing Executive Assistants to support our CEO and help facilitate management of the business overall.
    • We are looking for a superstar EA to be the glue that keeps our functional teams together and the driving strength that keeps Darkstore moving.

What You’ll Do

    • Plan and coordinate internal and external facing meetings, which may include cross functional teams and outside partners
    • Plan and coordinate team all-hands meetings, internal events, offsites, and all logistical and budget related requirements
    • Establish and administer a process for tracking team budget and invoices, including coordination with FP&A
    • Research and compile briefing documents in preparation for meetings and interviews
    • Be a sounding board, confidant and conduit to keep the CEO well informed and help facilitate decision making
    • Maintain an efficient flow of information between all levels including internal and external contacts on a wide spectrum of plans and priorities
    • Attend staff meetings, take notes and follow-up on outstanding agenda items
    • Maintain and tracks manager and teams project list and goals
    • Assist in document management, compilation, distribution and storage
    • Identify issues for escalation and keep in constant communication with others to ensure exec is well informed
    • Provide travel coordination including transportation, hotel reservations, travel documentation
    • Assist leadership with team building and culture and serve as the barometer for team morale
    • Assist the full life cycle of recruiting including booking interviews, liaising between the hiring team and the candidate, and coordinating onboarding of new hires
    • Receive and direct external visitors
    • Be the team expert and go to person for general requests and questions and keeper of all team resources

What You’ll Bring

    • BA / BS degree or equivalent work experience
    • Minimum 2 years of senior team level support or equivalent experience
    • Strong attention to detail and insight to anticipate needs
    • Strong communication skills and ability to interact with internal and external partners
    • Work well in a fast paced, dynamic environment
    • Fantastic organizational skills and great follow through on tasks
    • Be a problem solver at heart with a genuine interest in learning by helping
