We are seeking a detail-oriented and tech-savvy Technical Virtual Administrator to support our team with a range of administrative and technical tasks.
This remote role involves managing digital tools, maintaining documentation, assisting with system setups, and providing technical support to internal teams. The ideal candidate is highly organized and comfortable working with various software platforms and cloud-based systems.

Responsibilities

    • Phone Management
    • Answer incoming calls professionally using the VOIP Telephone System
    • Direct calls to the appropriate team members or take messages accurately

    • Digital Content Administration
    • Create and edit Word Documents tailored for use with the ServiceM8 Job Management System
    • Ensure accuracy and completeness in all document work

    • CRM and WIP Administration
    • Update the Work in Progress (WIP) Spreadsheet with meticulous attention to detail
    • GoHighLevel admin and management

    • Communication
    • Collaborate with team members to gather necessary information for document creation
    • Communicate effectively with clients and internal staff regarding project updates and clarifications

    • Time Management
    • Efficiently manage tasks within the specified working hours
    • Prioritize workload to meet deadlines and ensure timely completion of projects
    • Work independently and unsupervised when required

To be successful in this role, you will have:

    • Required Experience / Skills
    • Experience / Role Requirements
    • Proven experience as a Technical VA or in a similar role
    • Proficient in using Telephone Systems
    • Advanced skills in Microsoft Word
    • Familiarity with the ServiceM8 Job Management System (training available)
    • CRM Administration experience (GoHighLevel)

    • Tools / Systems (Essential)
    • Advanced Word skills (must)
    • Exposure to Excel (formulas, pivot tables, etc.)
    • ServiceM8 (prior knowledge beneficial, training provided)
    • Microsoft 365 suite
    • Collaboration/communication tools: Teams, Zoom

    • Tools / Systems (Preferred / Nice to Have)
    • Graphic design skills and experience (Adobe, Canva, etc.) – e.g., edit a logo, use AI to update a logo, manipulate images
    • Website creation (WordPress, cPanel, DIVI, HTML, Java)
    • GoHighLevel CRM package
    • Basic MS365 support and administration (L1)

    • Soft Skills
    • Strong communication (verbal and written) and customer service skills
    • Excellent attention to detail and commitment to delivering high-quality work
    • Strong organizational skills with ability to multitask and manage time effectively in a fast-paced environment
    • Ability to work collaboratively with a remote team and escalate issues appropriately, while also working independently
    • Eagerness to learn and grow in a technical support environment
