The Sales Admin is responsible for overseeing a variety of key operational processes to support smooth sales and client interactions, from order and payment management to client onboarding and financial administration. This role requires meticulous attention to detail, strong organizational skills, and proactive communication with both internal teams and external suppliers. Working with ConnectWise and Xero, the Sales Admin will be integral in maintaining accurate records, processing invoices, and managing client and supplier relationships.
Responsibilities:
- Sales Order Management:
- Convert opportunities in ConnectWise into new sales orders.
- Invoice products based on sales orders.
- Regularly check sales orders for payment status.
- Purchase Order Handling:
- Generate purchase orders for paid orders and send them to suppliers.
- Contact suppliers to manage Visa payments for pre-paid purchase orders.
- Monitor accounts and admin inboxes for purchase order-related invoices, adding them to the documents tab in ConnectWise.
- Software Orders:
- Receive software orders in ConnectWise.
- Register HP Care Packs.
- Financial Administration:
- Process credit notes.
- Request quotes for software renewals.
- Client Onboarding:
- Set up agreements in ConnectWise for new clients.
- Send welcome emails with helpdesk information and arrange welcome gifts via email.
- Support Agreement Renewals:
- Prepare necessary documentation for support agreement renewals.
- Payment Reconciliation:
- Reconcile payments in Xero.
- Sync Invoices:
- Coordinate the synchronization of invoices from ConnectWise to Xero.
To be successful in this role, you will have:
- Qualifications and Experience:
- At least 5 years of Similar working experience as Sales Administrator or Sales Support Agent.
- Proficient in using Connectwise PSA and SPQ (proficiency in another PSA system would be an advantage.)
- Proven work experience using Xero Software
- Proficiency in handling quoting, order processing, procurement, invoicing, and order receiving
- Excellent verbal and written communication skills
