Edelman is currently seeking an experienced Executive Assistant located in either Malaysia or Singapore. The incumbent will report to the Team Lead, Executive Assistant, and support 3 -4 key Senior Regional Executives. The responsibilities will be varied, highly confidential, and will require a high level of discretion and judgment. You will be required to provide all day-to-day administrative support to these Executives and will need to be articulate, confident, and driven. You will be encouraged to work on your initiative and to get to know the business inside out to deliver a first-class support service.

Responsibilities:

    • Act as the liaison between the regional Senior Executives and staff, clients, etc.
    • Diary management, scheduling meetings, gatekeeping, and ensuring the smooth running of the executives' offices.
    • End-to-end travel arrangement: coordination with travel agency for airfare and visas, booking accommodation, preparing itinerary and portfolio and transfers. 
    • Coordinate work involving confidential company and people-related information including performance appraisals, KPIs, etc.
    • Plan and coordinate internal and external meetings for the Executives and lead all logistical arrangements.
    • Process claims and expenses, as well as timesheets, and handle operational tasks as assigned.
    • Perform ad-hoc administration duties as required.  

Requirements:

    • At least 5+ years of experience as an Executive Assistant to regional senior leaders.
    • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
    • Outstanding organizational and time management skills.
    • Ability to work with a high level of discretion and confidentiality.
    • Good analytical skills and ability to work in a dynamic environment independently and with a team.
    • Exceptional communication skills.
    • Have experience working in a regional landscape and scheduled meetings across various time zones.
    • Strong relationship management skills with good presence and ability to build partnerships with senior leadership.
