EMILY’s List, the nation’s largest resource for women in politics, is searching for a Special Assistant to the President.  As Special Assistant, you will provide administrative support and work with the President to ensure organizational alignment at the senior most levels of the organization.

Essential Job Functions

    • Strategically design and manage the president’s complex short- and long-term schedule, including speaking engagements, detailed travel plans and itineraries, meetings, and events;
    • Works closely and effectively with the president to keep her well informed of upcoming commitments and responsibilities, including key decisions and special requests, and following up appropriately;
    • Complete a broad variety of administrative tasks for the president including, but not limited to: managing an extremely active calendar; screening visitors and callers; managing all signatures; copy editing materials; arranging complex and detailed travel plans, itineraries, and agendas; and expense submissions;
    • Manage the briefing process, including collaborating with other departments to produce itineraries and briefings for major events, trips, speeches, and meetings;
    • Coordinate information flow to- and from- the president’s office;
    • Ensure all speaking requests are screened through the Speaking Request Form at EMILY’s List and coordinated with the communications department;
    • Communicate regularly with the executive director and senior leadership team to ensure alignment and support of the president’s office, and interact with all levels of staff, visitors, and external stakeholders, while maintaining a high level of confidentiality;
    • Ensure call time by the president is appropriately staffed;
    • Develop engagement strategies to implement and amplify the president’s priorities and agenda;
    • Oversee special projects at the discretion of the president;
    • Draft executive-level correspondence;
    • Coordinate all meetings for the president —including (as required) material preparation scheduling, ordering refreshments, and setting up conference rooms with audio, visual and conference call needs;
    • Works closely and effectively with the president to keep her well informed of upcoming commitments and responsibilities, including key decisions, following up appropriately, and any special requests;
    • Perform additional duties as assigned.

Qualifications

    • At least 2-3 years of experience assisting a high level executive or public official in a fast-paced environment;
    • Qualified candidates must have outstanding interpersonal skills, strong follow up and follow through skills, and high attention to detail; 
    • Candidates must have experience supporting a high-level executive and the ability to juggle multiple tasks simultaneously;  
    • The ideal candidate is creative, optimistic, dedicated, remains calm in difficult situations and has the ability to work effectively in a fast-paced environment;
    • The ideal candidate is able to work flexible work hours and has the ability to travel;
    • Significant knowledge of Microsoft Office and Google Workspace suites;
    • All candidates should possess commitment and passion to elect Democratic pro-choice Women, as well as a commitment to the diversity of our candidates, membership, partners, and staff.
The salary for this position is $62,000 to $70,000 and comes with a comprehensive benefits package.  The starting pay for this position is equal to others at the same level throughout the organization.
