Friendship Hospital for Animals is seeking a highly organized, detail-oriented Executive Assistant to support the daily operations of our busy veterinary specialty hospital. Serving as the first point of contact for clients, vendors and staff, you’ll be right at the heart of our mission to care for pets and their people. CORE FUNCTIONS:
Administrative Support:
· Assist in managing the hospital’s calendar, including coordinating meetings and events.
· Prepare and distribute internal communications, such as memos and emails.
· Maintain and organize electronic and paper filing systems.
· Handle incoming and outgoing mail, including processing deliveries and shipments.
· Support employee recognition programs and staff events.
· Assist in organizing and coordinating hospital events, such as client education seminars and community outreach programs.
· Provide administrative support for hospital management and veterinary specialists as needed.
· Take on additional tasks as directed by the Hospital Administrator.
Project Management:
· Coordinate and manage various projects to improve hospital operations.
· Work closely with the hospital staff to ensure project milestones are met.
· Develop project plans, timelines, and budgets.
· Monitor project progress and provide regular updates to stakeholders.
· Facilitate communication and collaboration among different departments.
· Assist in the implementation of new technologies and processes.
· Ensure compliance with hospital policies and industry regulations.
OUR IDEAL CANDIDATE – to be considered for this role you will need:
· High school diploma, associate degree or higher related field preferred
· Minimum of 2 years of administrative or customer service experience, preferably in a medical or veterinary setting.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with practice management software.
· Excellent organizational and time management skills, with a strong attention to detail.
· Strong verbal and written communication skills.
· Ability to work independently and as part of a team.
· Compassionate and empathetic attitude towards animals and their owners.
· Ability to handle sensitive and confidential information with discretion.
WORKING CONDITIONS -
· Fast-paced, team-oriented environment in a veterinary specialty hospital.
· May require some evening or weekend hours depending on hospital needs.
· Ability to lift up to 25 pounds occasionally.
· Must be comfortable working around animals

$70,000 - $90,000 a year
salary is based on skills and experience.
