OVERVIEW

    • This role plays an integral part in supporting Esalen Institute’s mission by ensuring our baths facilitate a transformative experience for our workshop participants, day guests, faculty, and staff. You will be expected to perform a variety of duties supporting the guests' experience in-person, through email, and by phone as well as assess day to day inventory needs for a seamless workflow among the massage and other healing arts practitioners.

KEY RESPONSIBILITIES

    • Assist in scheduling guest sessions and collecting payments using Mindbody software, clearly communicating all pertinent details and policies
    • Answer phone calls and return voicemails for all client inquiries
    • Respond to emails for massage@esalen.org throughout the workday 
    • Daily cross checking of appointments in Mindbody to check for errors and send out confirmation emails
    • Appropriately deposit gratuity envelopes into the lock box
    • Pick-up and deliver inventory weekly from the Cabins loading dock to the closet/office
    • Deliver linen weekly to Healing Arts workspaces
    • Welcome and orient all guests to the Baths space, providing tours when needed
    • Conduct walkthroughs of the Baths to ensure appropriate etiquette and cleanliness throughout the day
    • Assist the Massage Practitioners with any client needs such as checking clients in, reschedules, and relaying late client arrivals
    • Give cart rides to guests with mobility needs as needed
    • Communicate with the Front Office/Guest Services and Reservations teams as needed to coordinate guests’ scheduling changes, feedback, and other needs
    • Have an eye for equipment maintenance, input Wrike requests when needed and track status
    • Organization and maintenance of inventory
    • Communicate with Managers daily for support and shift notes
    • Carry and use a radio when you leave the Baths space for errands
    • Respond to all Baths emergency situations, elevate to MOD as needed, and fill out and submit an incident report to Healing Arts Managers 

QUALIFICATIONS

    • Ability to meet the demands of up to a 29-hour a week work schedule and have a flexible schedule (primarily Tuesday through Friday, with the potential for some weekends if coverage is needed)
    • Ability to commute to Esalen Institute - this is a part-time role that does not come with housing
    • Strong customer service skills, with the ability to be proactive and anticipate needs before they arise
    • Ability to use effective communication
    • Reliable and timely attendance – this position works on-site
    • Ability to work well alone as well as with a diverse team
    • Be organized and efficient while working in a small space
    • Experience using G Suite, specifically of Gmail, Google Drive, Sheets, Docs, and Calendar; E
    • experience with booking software such as Mindbody is a plus. 
    • Ability to safely lift up to 30 pounds and handle physical labor involving lifting, bending carrying linen stock, loading and unloading laundry
    • CPR and first aid certification is a plus

PHYSICAL REQUIREMENTS

    • While performing the duties of this job: the employee must be able to work in a physically demanding environment; maneuver on uneven ground; stand for long periods of time; regularly lift and carry bags and bundles up to 30 pounds;  lift, bend, carry, load and unload laundry in and out of the cart.

COMPENSATION

    • The pay for this position is commensurate with experience. In alignment with Esalen’s mission in advancing human potential, staff are encouraged to engage in a wide range of  personal and professional development programs designed by Esalen faculty and staff.
$16.50 - $20 an hour
