Flynn Group of Companies is currently looking for an Branch/Accounts Payable Administrator to support our Vancouver Branch located in Surrey, BC (Office Location - 19175 - 22nd Avenue, Surrey BC V3Z 3S6), reporting to the Accounting Manager.

A Day In The Life

    • Branch administrator responsibilities:
    • Opening and/or closing branch daily
    • Answering all incoming calls and redirecting them accordingly
    • Keeping reception area safe, clean and organized
    • Greeting visitors, ensuring sign-in procedures are followed, and notifying office staff of their arrival
    • Coordinating booking of all boardrooms for meetings/training and coordinating lunch orders or catering for meetings
    • Ordering and organizing office supplies, printer supplies, company forms/stationery and business cards
    • Ordering coffee/breakroom supplies and keeping them organized, coordinating with coffee service company
    • Daily cleaning and refilling coffee machines
    • Organizing incoming/outgoing mail and distributing accordingly
    • Managing and distributing incoming faxes (via email)
    • Coordinating incoming/outgoing courier deliveries and distributing accordingly
    • Managing and updating employee directories and branch phone lists
    • Handling all other miscellaneous enquiries and directing them to the appropriate staff and/or manager
    • Other administrative duties as required

    • Accounts payable administrator responsibilities:
    • Processing/approving all non-PO invoices (sundries)
    • Coding field staff and SVP’s P-card expenses
    • Reviewing and coding Element invoices
    • Generating WorkSafe BC clearance letters and obtaining certificates of insurance from subcontractors and submitting them as required to the AP department

What We Are Seeking

    • Minimum 2 year of previous administration experience
    • Accounts payable experience is an asset
    • Strong customer service and communication skills
    • Excellent interpersonal skills, pleasant and professional phone manner
    • Excellent computer skills in the Microsoft office package; Word, Excel, Outlook & Teams
    • Strong time management skills
    • Ability to multitask, prioritize and work in a fast paced, team environment
    • Strong problem-solving abilities
