Flynn Group of Companies is currently looking for an Branch/Purchasing Administrator to support our Vancouver Branch located in Surrey, BC (Office Location - 19175 - 22nd Avenue, Surrey BC V3Z 3S6), reporting to the Accounting Manager.

A Day In The Life

    • Opening and/or closing branch on a daily basis
    • Keeping reception area safe, clean and organized
    • Greeting visitors, ensuring sign-in procedures are followed, and notifying office staff of their arrival
    • Coordinating booking of all boardrooms for meetings/training and coordinating lunch orders or catering
    • Assisting the IT department with computer and telephone hardware setups for new hires
    • Ordering and organizing office supplies, printer supplies, company forms/stationary and business cards
    • Ordering coffee/breakroom supplies and keeping them organized, coordinating with coffee service company
    • Organizing incoming/outgoing mail and distributing accordingly as well as company faxes via email
    • Coordinating incoming/ outgoing courier deliveries and distributing accordingly
    • Managing and updating employee directories and branch phone lists
    • Handling all other miscellaneous enquires and directing them to the appropriate staff and/or manager
    • Other administrative duties as required
    • Issuing purchase orders as requested by project management Team
    • Processing vendor and subcontract invoices based on the POs issued, matching quoted pricing, taxes and quantities received from POs to invoices.
    • Generating WorkSafe BC clearance letters and submitting as required for subcontractors
    • Obtaining certificates of insurance and submitting as required for subcontractors
    • Completing/closing open purchase orders when fulfilled
    • Managing missing PO queue for the branch
    • Other accounts payable duties as required

What We Are Seeking

    • Minimum 2 year of previous administration experience
    • Strong customer service and communication skills
    • Excellent interpersonal skills, pleasant and professional phone manner
    • Excellent computer skills in the Microsoft office package; Word, Excel, Outlook & Teams
    • Strong time management skills
    • Ability to multitask, prioritize and work in a fast paced, team environment
    • Strong problem-solving abilities
