Flynn Group of Companies is currently looking for an Branch/Purchasing Administrator to support our Vancouver Branch located in Surrey, BC (Office Location - 19175 - 22nd Avenue, Surrey BC V3Z 3S6), reporting to the Accounting Manager.
A Day In The Life
- Opening and/or closing branch on a daily basis
- Keeping reception area safe, clean and organized
- Greeting visitors, ensuring sign-in procedures are followed, and notifying office staff of their arrival
- Coordinating booking of all boardrooms for meetings/training and coordinating lunch orders or catering
- Assisting the IT department with computer and telephone hardware setups for new hires
- Ordering and organizing office supplies, printer supplies, company forms/stationary and business cards
- Ordering coffee/breakroom supplies and keeping them organized, coordinating with coffee service company
- Organizing incoming/outgoing mail and distributing accordingly as well as company faxes via email
- Coordinating incoming/ outgoing courier deliveries and distributing accordingly
- Managing and updating employee directories and branch phone lists
- Handling all other miscellaneous enquires and directing them to the appropriate staff and/or manager
- Other administrative duties as required
- Issuing purchase orders as requested by project management Team
- Processing vendor and subcontract invoices based on the POs issued, matching quoted pricing, taxes and quantities received from POs to invoices.
- Generating WorkSafe BC clearance letters and submitting as required for subcontractors
- Obtaining certificates of insurance and submitting as required for subcontractors
- Completing/closing open purchase orders when fulfilled
- Managing missing PO queue for the branch
- Other accounts payable duties as required

What We Are Seeking
- Minimum 2 year of previous administration experience
- Strong customer service and communication skills
- Excellent interpersonal skills, pleasant and professional phone manner
- Excellent computer skills in the Microsoft office package; Word, Excel, Outlook & Teams
- Strong time management skills
- Ability to multitask, prioritize and work in a fast paced, team environment
- Strong problem-solving abilities
