About the role:

As the Office Manager at Foodsmart, you will play a key role in ensuring the smooth operation of our office environment. Your responsibilities will include managing incoming and outgoing mail, collecting and distributing important information for key stakeholders, supporting key office events and activities and occasional support of executives with calendar management. You'll also oversee day-to-day office activities to ensure the office remains well-organized and in excellent condition.. This role is perfect for someone who thrives in a fast-paced, dynamic setting, is highly detail oriented and organized, and enjoys multitasking to keep things running efficiently.

This hybrid role requires 3 days per week of in-office work, with flexibility for remote work the remaining days.

You will

    • Executive Calendar Management: Provide calendar management support to executives, ensuring seamless coordination of meetings, appointments, and deadlines.
    • Event Coordination: Support the planning and execution of offsite and onsite events and meetings, particularly for our Bay Area teams.
    • Office Coordination: Organize and manage office activities, including maintaining an efficient and well-functioning workspace, ordering supplies, and troubleshooting basic office equipment issues.
    • Information Triage: Review key information from mail and other sources, and ensure that critical updates are efficiently communicated to the relevant stakeholders.
    • Mail Management: Oversee all incoming and outgoing mail, including processing and distribution. 

You are

    • Highly Organized: Proficiency handling a variety of tasks, from managing mail and billing systems to supporting executives’ calendars, while ensuring nothing falls through the cracks.
    • Strong Communicator: You are able to triage key information from various sources and coordinate with stakeholders across different departments to ensure information is distributed quickly and accurately.
    • Proactive Problem-Solver: You anticipate potential issues and needs–from organizing office space to resolving minor office equipment problems– and act decisively to bring a resolution.

You have

    • Proven experience in office management or administrative roles
    • Strong organizational skills with the ability to multitask and prioritize tasks effectively
    • Excellent communication skills, both verbal and written
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and calendar management tools
    • Ability to handle sensitive and confidential information with discretion
    • High level of attention to detail and problem-solving skills
    • Experience with event coordination is a plus 
$55,000 - $80,000 a year
