About the Role:

Foxtrot is seeking an Office Manager & Executive Assistant to provide high-quality office experience for our team members & guests, plus organizational support for our leadership team.  In this role, you will manage all things to the smooth operations of our Chicago office (mail / packages, supplies, visitors, and so on), and be on-the-ready to support our executive team, on day-to-day tasks and special projects.  

The ideal candidate is proactive with excellent problem-solving and strong judgment, with the ability to handle highly confidential and critical details.  This role will be on-site Monday - Thursday, each week, with flexibility on Fridays.  

Responsibilities:

    • Oversee the optimal operations of our Chicago Hub Support office including  security access, facilities support, incoming & outgoing packages & mail, office supplies and event planning. You’ll lead it all. 
    • Liaison with building management to ensure great tenant & building management relationships.
    • Serve as our key communicator & culture ambassador, collaborating across our Hub Support teams and creating connections to our Field teams.  
    • Support a set of our executive leaders by managing busy calendars, arranging travel, completing expense reporting, and helping prepare for key meetings. You’ll serve as a go-to resource.  
    • Resolve time-sensitive issues with a high degree of precision and strong organizational, written, and verbal communication skills.
    • Meet & greet visitors as their first point of contact in our Hub Support office.
    • Complete special projects by organizing and coordinating information and requirements; planning, arranging, and meeting schedules.
    • This role is majority on-site, supporting the team as we’re regularly in the office. 

Experience & Qualifications:

    • 3+ years experience supporting high-level executive(s) in a fast-paced organization. 
    • Excellent collaboration, written, and verbal communication skills. 
    • Upbeat and energetic personality with a keen ability to be proactive and assertive when needed.
    • Adaptable and resourceful in a dynamic environment.
    • Master multi-tasker: you need to manage multiple tasks/projects.
    • Self-starter: can take any project and run with it to full and successful completion.
    • Ability to stay on top of new tools and technologies with an interest and passion for constantly learning.
    • Start-up background or experience working in a hyper-growth environment is preferred.
