POSITION OVERVIEW
The School Office Manager position is responsible for assisting with the day-to-day operations at one school site within the network. This position reports to the Dean of Operations and works as a key member of the school operations team. The primary role of the School Office Manager is to warmly greet visitors in person by phone, serve as the school bookkeeper, handle mail, assist students needing medical attention, and keep the front office running smoothly. Working in a shared office environment alongside the Operations Manager/Student Records Coordinator, the right candidate will also go above and beyond to provide excellent customer service to the students, faculty/staff, guests, and families of Freedom Prep. The School Office Manager will be housed at a school site and will be expected to arrive no later than 30 minutes prior to the start of school and leave no earlier than 30 minutes after dismissal is complete.

ESSENTIAL JOB FUNCTIONS
•Makes each visitor and caller to the office feel welcome and valued.
•Perform receptionist duties such as answering phones, and greeting visitors exemplifying professionalism and superb customer service. 
•Serve as the school bookkeeper, responsible for processing student payments and faculty/staff requisitions under the direction of the Dean of Operations.
•Manages incoming and outgoing mail.
•Ensures that the contents of deliveries align with the corresponding packing slip and proper delivery location.
•Manages the substitute teacher placement system under the direction of the Dean of Operations.
•Runs daily attendance reports to provide updates to the Dean of Operations and Head of School. 
•Communicates with the school lunch vendor to ensure the proper number of lunches are prepared at school and during field lessons. 
•Provides general clerical duties, including preparing correspondence and forms, emails, fax, file, and scanning of documents. 
•Assists with the coordination of field lessons under the direction of the Dean of Operations.
•Assists with the coordination of travel arrangements for faculty and staff under the direction of the Dean of Operations.
•Assists with the execution of Staff Orientation, Teacher Appreciation, Wellness Wednesdays, etc.
•Assists with maintaining the general culture and beauty of the building by creating bulletin boards, and maintaining the cleanliness/organization of the Staff workroom, Wellness room, and Mother’s Room. 
•Serves as the backup nurse when necessary.  
•May be asked to open or close the building for the day.
•May be asked to dispense office and classroom supplies to the faculty/staff.
•Exemplifies the Freedom Prep core values at all times.
•Performs other job-related duties as assigned by the Dean of Operations. 

FREEDOM PREPARATORY ACADEMY SCHOOL OFFICE MANAGER

MINIMUM QUALIFICATIONS
•A Bachelor’s degree from an accredited college or university in business management, business administration, or a closely related field and two (2) years in a school setting or 3 years in an office management/bookkeeping role, or an equivalent combination of education, training, and experience that will allow the successful performance of the assigned job duties.
•Bi-lingual candidates (Spanish) are preferred.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES
•Proficiency using Concur/SAP or other financial software applications, Google Suite, and Microsoft Office.
•Excellent verbal and written communication skills (preferably in English and Spanish)
•Experience with working in under-resourced communities serving families and/or students.
•Strong interpersonal skills and demonstrated ability habit of treating people with respect and kindness

$40,000 - $59,400 a year
Salary determined by years of experience
