Our PeopleOps team is looking for an experienced Payroll Specialist to focus on and be responsible for all payroll-related responsibilities for an assigned portfolio of clients. This includes collecting and reviewing employee information and working hours, calculating wages, preparing, and processing employee payments, and maintaining accurate payroll records – bi-weekly and semi-monthly pay schedules for multiple clients. This is a fast-paced position that supports multiple clients in a flexible work environment while working closely with internal teams as well as clients.
An ideal candidate will ensure accuracy, investigate/resolve all payroll issues in a timely manner and ensure strict compliance with company and regulatory standards. Customer satisfaction is a priority for us, an outstanding candidate should also have excellent communication skills, attention to detail, and a high numerical aptitude.
Responsibilities
Manage and process semi-monthly and bi-weekly payroll for multiple clients on different payroll systems (Gusto, Namely, Zenefits, ADP, Paylocity, Paycom, TriNet, Justworks, Rippling, Insperity, Quickbooks..etc)
Manage workflow to ensure all payroll transactions are processed accurately and timely and supported by approved employee changes
Partner with clients to set payroll cadence and workflow and continue to improve and streamline the payroll process as necessary
Partner with the designated team to set up all state registrations and ensure compliance
Review timesheet data and payroll information, ensure overtime calculations are compliant with state laws
Process all bonuses, incentives, and all other special payments as needed
Enter and monitor scheduled payroll adjustments and deductions into payroll system
Calculate wages, benefits, tax deductions, commissions, etc.
Support Company and employee tax filings: 941 filings, FUTA and SUTA, W-2 issuances, as applicable
Maintain all hourly payroll data and files: including employee paperwork and reports
Process correct garnishment calculations and compliance
Payroll research and troubleshooting as required
Create payroll journal entries for accounting
Perform account balance and payroll reconciliations
Set up and assist with benefit enrollment deductions, processing final checks for terminations, and run reports as necessary
Track unclaimed paycheck reports and compliance audits
Support unemployment claim forms and inquires
Track certification and continued education reimbursements
Qualifications
Bachelor’s degree and/or Certified Payroll Professional designation
6+ years of experience processing and managing the entire payroll cycle
Must have experience with multi-state payroll processes and familiarity with new-state registrations set-ups and compliance
Experience with more than one of the following payroll platforms: Gusto, ADP, Paylocity, Paycom, Zenefits, TriNet, Justworks, Rippling, Insperity, Quickbooks, etc.
Preferred industries – retail, restaurant, warehouse, Consumer Goods, technology
Ability to update with accuracy on benefits/401(k) deductions – set up taxes for state filings
Self-motivated, with a strong work ethic and demonstrated initiative with a sense of urgency
Ability to handle pressure and manage multiple projects with frequently changing priorities, and eye for detail
Ability to exercise autonomy, independent judgment and decision making; providing sound recommendation to clients to resolve issues and mitigate risk
Must be able to travel to the Santa Monica office and/or client offices in the Los Angeles area from time to time

Annual Compensation
Compensation is $65,000 - $75,000 annually, depending on experience
