Currently, more than 1800 students are learning at GESS supported by more than 400 full time and part time academic and administrative staff members. In August 2018 GESS moved to Dairy Farm Road to a modern new school campus located at the edge of Singapore’s largest nature reserve.

GESS is looking to recruit a part time assistant to work in the school shop over the busy summer period.

Job purposes will include:

· Ensure a smooth operation of the school shop on campus and online shop.
· Support the further development and maintenance of the shop.
· Provide high quality and dedicated services to parents, students, visitors and GESS staff.
· Provide full support of office supply and stationeries for the daily operation of the school.
· Possess a good team spirit and excellent communication skills.
· Conduct and ensure inventory control and stock take; receive, RCP all items delivered to school.
· To perform this job satisfactorily, an individual must be able to perform each essential duty satisfactorily and in a timely manner.

Key Accountabilities:
· Report to the School Shop Assistant on inventory and sales related matters.
· Open and close the school shop account.
· Order and replenish items according to predicted quantity.
· Manages purchases on the system as required.
· Get approvals for school shop orders from the Budget holder.
· Good communication with teachers, students, and parents, and answer all the queries, including replying to all School Shop emails.
· Cash or Nets payment collection of sales.
· Weekly submittal of cash to the Accounting Department.
· Carry out daily reconciliation of sales reports vs actual receipts. 
· Support the school’s stationery and office supplies management.
· Support inventory control.
· Always Maintaining store tidiness. Monitor the shop and mitigate risks.
· Comply with all GESS Health and Safety regulations, Code of Conduct and all related Policies in the School Shop management environment.
· Liaise with respective departments to ensure accurate shop and uniform information appears in all communication with parents.
· Conduct stock take in the Storeroom and school shop during term breaks and reconcile the difference and provide a report for the Procurement Manager to review.
· Update information in Shopify and Synergetic in a timely manner.
· Monitor and update uniform stock in Synergetic and Shopify weekly.
· Check Shopify online shop for new orders, print order list, gather the items, and send notification for parents to pick up.
· Maintain and update online school shop items information and categories.
· Assist the School Shop Assistant and comply with the SOP for sales of marketing items and other required items.
· Prepare and file all required documents and School Shop related reports, including day/month end reports, sales reports, etc.
· Seek Manager approvals for any discount or refund.

Knowledge and Experience

    • Strong knowledge in various areas of school shop items but not limited to stationery, school supplies and teaching material.
    • High level of communication skills, problem solving which can be used to take initiative and meet objectives.
    • Effective written and verbal English and communication skills.
    • Self-motivated and open-minded personality with ample cultural awareness and eager to work in a multi-cultural team.
    • A bachelor’s degree is desirable.

Technical and Soft Skills

    • Customer service experience with excellent communication skills in liaising with various internal and external stakeholders is a must.
    • A stress-taker with high level of tolerance, patience, and proactive mindset in resolving issues.     
    • Proven record of effective communication skills in coordinating with debt collections and slow paying customers.
    • Proficient in using Synergetic.
    • Medium level proficiency in using Microsoft Office Excel and Word.

Our School
The German European School Singapore (GESS) is a multi-lingual, not-for-profit, German international school in Singapore with a distinct European flavour. As an accredited ‘Excellent German School Abroad’, the German Section of GESS offers all major German school leaving certificates.
 
Our European Section offers tuition in English for students from grade 1 - 12 across all three IB programmes (the PYP, the MYP and the IB Diploma Programme) as an authorised IB World School.
 
Children aged 2 years onwards can enroll in our Preschool where children are following the PYP programme in German-speaking, English-speaking or bilingual groups.
