Currently, more than 1800 students are learning at GESS supported by more than 400 full time and part time academic and administrative staff members. In August 2018 GESS moved to Dairy Farm Road to a modern new school campus located at the edge of Singapore’s largest nature reserve.

Job Purpose
The Receptionist is responsible for providing administrative support to the School Services department, including but not limited to school routines and parent, teacher, and student support for current families.

Key Accountabilities:

General Customer Service & Administration:
·       Serve as the primary point of contact for parents and students.
·       Attend to parent and student requests and inquiries, redirecting them to the appropriate personnel when necessary.
·       Manage the main phone line, assist customers with queries, and direct them to the correct department.
·       Educate and assist parents in understanding school procedures and accessing relevant information.
·       Ensure customers have a positive experience with GESS.
·       Provide feedback to the department on improving parent and student experiences.
·       Manage complaints and escalate issues when necessary.
·       Support the School Services Manager with day-to-day tasks.
 
Reception Duties:
·       Professionally supervise the reception area.
·       Assist parents, students, and visitors.
·       Order taxis for visitors.
·       Supervise late student pick-ups.
 
Data & Systems Management:
·       Enter, validate, and maintain relevant student data in the student database.
·       Assist in checking for data integrity of student data.
·       Familiarity with school systems and databases.
 
Student Support Services:
·       Issue student enrolment confirmations for external authorities.
·       Handle documentation requests (references, reports, certificates).
·       Manage correspondence for existing students.
·       Process concession card applications for Singaporean citizens.
·       Issue Student ID and Parent ID Cards.
·       Distribute lunch vouchers to students.
·       Maintain a phone confiscation list.
·       Manage lost and found items.
 
Student Attendance:
·       Update absences in the Master Attendance system.
·       Process early dismissals and late arrivals.
·       Handle leave requests.
·       Generate daily attendance and absence reports.
·       Ensure all student absences are resolved.
·       Maintain up-to-date attendance records.
 
Knowledge and Experience:
·       Diploma in any discipline.
·       2-3 years of proven experience working in an office environment and customer service role.
·       Cultural understanding and experience working in an international organization with diverse stakeholders.
·       Experience working in a school environment is an advantage.
 
Technical and Soft Skills:
·       Excellent communication and interpersonal skills.
·       Calm and composed demeanor.
·       Strong problem-solving and multi-tasking abilities.
·       Skills in customer complaint handling and resolution.
·       Proficiency in Microsoft Office and CRM database systems.
·       Ability to quickly learn and understand school operations, standards, and work processes.

Our School
The German European School Singapore (GESS) is a multi-lingual, not-for-profit, German international school in Singapore with a distinct European flavour. As an accredited ‘Excellent German School Abroad’, the German Section of GESS offers all major German school leaving certificates.
 
Our European Section offers tuition in English for students from grade 1 - 12 across all three IB programmes (the PYP, the MYP and the IB Diploma Programme) as an authorised IB World School.
 
Children aged 2 years onwards can enroll in our Preschool where children are following the PYP programme in German-speaking, English-speaking or bilingual groups.
