SUMMARY
SQUIRE is currently looking for an Executive Assistant to provide support to our CEO, President, and Chief of Staff. The ideal candidate should have a minimum of 4 years of experience assisting executives. You must excel in attention to detail, be adaptable, and have strong communication skills for interactions at all levels. Being highly organized and adept at working in a collaborative manner to achieve results in a fast-paced setting is crucial. Additionally, you should exhibit proactive and resourceful traits while maintaining a high level of professionalism and confidentiality. This role demands the ability to anticipate needs, think critically, and propose solutions with professionalism and discretion. Furthermore, the position involves overseeing the smooth functioning and enhancement of our office spaces, covering aspects such as site security, property upkeep, and project-related tasks.

This position is required to report in-office 5 days a week: Monday-Friday. The location is in New York City - NoLita Neighborhood.

REPORTS TO
Chief of Staff

JOB DUTIES AND RESPONSIBILITIES

    • Perform a variety of administrative tasks (manage calendars, book travel, plan appointments and events, etc.) for the Founders and back-up to the Chief of Staff
    • S​​upport the Office of the Founders through a combination of special projects, writing and editing, research and high level administrative and relationship support functions
    • Work closely with Founders to keep them well informed of upcoming commitments and responsibilities
    • Act as a liaison and provide support to the Chief of Staff
    • Workplace Services contact for Bowery office responsible for daily office management duties, including the following: 
    • - Delivery of maintenance and repair services for Bowery office
      - Manage and maintain all office supplies and equipment
      - Partner with People Operations team as needed in alignment with SQUIRE Workplace Strategy
      - Interface with internal stakeholders and leadership regarding facilities issues
      - Manage outside service vendors, including Janitorial, HVAC, Electrical, Plumbing, Security, Utilities etc. for the office
      - Support leaders with office-based events or projects as needed 

      The duties and responsibilities outlined above are not a comprehensive list and additional tasks may be assigned from time to time based on business needs.

REQUIREMENTS AND QUALIFICATIONS

    • Experience working in a start-up and/or fast paced environment
    • Ability to prioritize and handle multiple assignments while maintaining commitment to deadlines
    • Exceptional interpersonal & professional skills, including effective verbal and written communication
    • Professional polish and ability to demonstrate grace and composure under pressureIntegrity and discretion in handling confidential information in dealing with professionals internally and externally
    • Desire and aptitude for learning new concepts quickly
    • Available to work flexible hours as dictated by the needs of business for projects and meetings
    • Proven experience working with outside vendors including architects, engineers and third-party project managers to facilitate infrastructure projects or technical installations
    • Bachelor’s degree or equivalent experience

- Base Salary of $90,000 - $110,000
