Summary of Role:
As People Operations Specialist at GHJ, you’ll be responsible for processes and policies related to the employee life-cycle including employee onboarding (offer letters, background check, I-9s, etc.) and offboarding, new hire orientation, immigration, employment verifications, and employee change requests to name a few. You will report to the Manager, People Operations and Total Rewards, and your goal will be to treat employees as internal customers in order to increase employee engagement. 

You will be responsible for:

    • Onboarding
    • Review and approve offer letters in the applicant tracking system (ATS) and generate customized offer letters as needed
    • Initiate background screening processes for new hires in accordance with company policy
    • Communicate new hire onboarding details to relevant department teams and internal stakeholders
    • Complete and submit the required new hire documentation and forms in various systems (HRIS, expense reporting, Intranet, etc.)
    • Coordinate and conduct orientation sessions for new hires, providing essential company information and resources
    • Compliance, Immigration and Employee Requests
    • Manage compliance-related materials such as labor law posters and the annual employee handbook update
    • Implement and support new HR compliance programs to meet evolving regulatory and organizational requirements
    • Review and approve IT security tickets related to international travel to ensure compliance with internal policies
    • Support the immigration process by coordinating with external counsel, gathering documentation, and tracking case statuses, including managing the secondment process for both inbound and outbound employees
    • Complete employment verification requests in a timely and confidential manner
    • Process personnel changes and maintain accurate employee records in the HRIS (e.g., Dayforce)
    • Serve as the system administrator for the anonymous employee reporting platform, ensuring confidentiality and accessibility
    • Offboarding
    • Send official offboarding communications to the exiting employee and relevant internal exit team members
    • Prepare and generate all necessary exit documents
    • Conduct exit interviews and coordinate IT offboarding activities to ensure timely system access removal
    • Coordinate with the Finance team to ensure timely and accurate processing of severance or any final payments
    • Additional Operations
    • Collect, sort, and distribute physical mail relevant to People Operations
    • Track alternate work arrangements and update relevant systems
    • Prepare monthly employee turnover report and other employee data requests as needed
    • Process weekly fulfillment for our shout-out program
    • Manage team credit card expenses monthly
    • Administer new hire and exit surveys
    • Other duties as assigned

What skills & experience you’ll bring to us:

    • 3-5 years of People experience
    • Excellent organizational skills and attention to details
    • Demonstrated success in meeting high standards in high volume, fast-paced and hands-on environment
    • Strong communication skills
    • Proficient with Microsoft Office or related software, especially Excel
    • Experience with HRIS systems – experience with Dayforce is a plus!

GHJ complies with all local/state regulations in regards to displaying salary ranges. The disclosed range estimate has not been adjusted for the applicable geographic differential associated with the location at which the position may be filled. Any offered salary is determined based on internal equity, internal salary ranges, market data, ranges, applicant's skills and prior relevant experience, certain degrees and certifications (e.g. JD, technology), for example. At GHJ, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is: $65,000 - $75,000.
