HCVT is seeking an Administrative Assistant to work with our campus and experienced hire recruiting teams. As a member of the recruiting team, you will assist our efforts in finding the best talent for our firm and provide a candidate experience that is second to none. The ideal candidate will be highly organized with outstanding verbal and written communication skills, as well as the ability to effectively collaborate with teams across the firm. We’re looking for someone with a strong work ethic, positive attitude, and a commitment to taking ownership and pride in their work.
Days in the office: Tuesday & Thursday with a third day as needed

As the Administrative Assistant on the Recruiting Team, you will be responsible for, but not limited to, the following:
- General Administrative Responsibilities:
- Support a fast-paced recruiting department in the full cycle recruiting process
- Ensure invoices are prepped for approval and processing
- Type drafts/letters/documents as instructed
- Order and maintain inventory of recruiting materials and giveaways
- Take minutes in weekly team meetings and quarterly recruiting committee meetings and summarize the key points and action items
- Work with Recruiters and the Human Resources teams to complete all new hire files, which includes confidential and sensitive personal information
- Recruiting Assistance:
- Schedule and facilitate interviews, candidate communications, and any travel accommodations as needed
- Assist in the logistics of recruiting events and programs such as office tours, career fairs, speaking engagements, internship programs, etc.
- Data Management and Reporting:
- Maintain and update applicant tracking system and job boards in real-time for accurate reporting
- Update recruiting trackers and templates – Excel sheets, recruiting software, PowerPoint presentations
- Monitor application flow and update Recruiters on the status of open requisitions
- Work on ad-hoc projects as needed
To be successful, these are the skills and experience you will need:
- Minimum one year of relevant work experience in a corporate environment supporting a team
- Proficient in Word, Excel, Outlook & PowerPoint; applicant tracking system experience is a plus
- Professional demeanor and ability to interface with management, candidates, and the wider firm
- A high level of personal integrity and professional ethics / maintaining confidentiality of sensitive information
- Strong interpersonal skills; a team player
- Detail oriented with high productivity and the ability to function in a fast-paced environment with experience meeting multiple corresponding deadlines
- Forward-thinking with the ability to take initiative and to stay a step ahead
- Ability to travel to other HCVT offices and work on-site as needed
- Must be able to work overtime, especially during busy season recruiting cycles

This salary range is specific to the state(s) listed and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill set and education; experience and training; licensure and certifications; and other business and organizational needs.A reasonable estimate of the range for this position is $50,000 to $55,000 with overtime pay.
