The role of a Clinical Team Leader is formulated to provide guidance, mentorship, and leadership to a team of clinicians, ensuring that each team member receives personalized support and fosters collaboration and connections within the team. Summary: The Clinical Team Lead role is comprehensive, involving leadership, performance management, communication, crisis resolution, and active contribution to clinical and organizational initiatives. While not directly involved in clinical supervision, the Team Lead is their assigned clinical team's formal manager, focusing on team and individual performance, learning and development initiatives, and aligning clinical processes with organizational objectives. Responsibilities include ensuring adherence to clinical standards, monitoring productivity metrics, supporting new clinician hiring and integration, facilitating effective communication within the Team, managing complaints and crises, and actively contributing to workflow refinement and organizational development.

Team Lead Responsibilities

Clinician Support and Adherence to Established Clinical and Organization Policies, Procedures, Standards, and Established Best Practices: The Clinical Team Lead plays a pivotal role in fostering a culture of excellence within the clinical team by actively engaging in collaboration, training, and mentorship initiatives to ensure that all team members consistently uphold the highest standards in their clinical practices. Key focus areas include but are not limited to: 
·       Promoting accurate and prompt completion of charting and billing paperwork and procedures for content, compliance, and timelines. 
·       Ensuring adherence to schedule templates. 
·       Promoting clinician follow-up scheduling. 
·       Facilitating accurate and prompt completion of Charting and Billing Paperwork. 
·       Adhering to Standards of Care and Treatment Plans. 
·       Supporting PTO management and crisis protocols. 
·       Cultivating professional and courteous behavior in all interactions. 
Productivity and Utilization: A primary responsibility for this position will be ensuring that team-level and individual productivity metrics exceed organization and client experience goals; this includes monitoring and enhancing individual and team level metrics such as: 
·       Team and Individual Utilization 
·       Total New Appointment Schedule 
·       Client Kept Rate 
·       Cancellation Rates by both client and clinician 
·       Client Retention 
·       Charting and Billing Compliance  
·       Calendar Compliance 
·       Clinician Retention 
·       Therapeutic Alliance 
  
Hiring and Integration: The Clinical Team Lead will play a required and key role in supporting the interviewing process for new clinicians joining the team. Additionally, responsibilities involve mentoring, training, and integrating new clinical team members to ensure proper team-level support, engagement, training and development, and caseload ramp management. 

Communication and Collaboration: Effective communication within the team is pivotal to this role and includes conducting bi-weekly 1:1 meetings with each clinical team member and hosting bi-weekly team meetings to align goals, review team performance metrics, emphasize and train clinical policies, and communicate important clinical and organizational updates. The Team Lead will also provide feedback and relay ideas to appropriate operational and technical teams.  

Complaints and Crises Management: As the first point of contact for escalating clinical and professional complaints, the Clinical Team Lead's role includes collaborating with the executive clinical team and operational leaders to ensure the resolution of complaints. The Team Lead will also be instrumental in enforcing protocols for complaint monitoring and clinical escalation management. 

Learning and Development Support: The Clinical Team Lead's involvement in Learning and Development is vital. It includes supporting the proper rollout of new processes, workflows, clinical standards, compliance training, and collaborating with the L&D team for training requests, modifications, and team training completion. 

Clinical, Operations and Technical Workflow Refinement: When called upon, the Clinical Team Lead will represent all clinical processes in operations and development meetings. The Clinical Team Lead will collaborate with Executive Clinicians to refine clinical workflow policies and procedures, ensuring the highest standards are consistently met by all members of their team. Providing regular updates to direct reports on Headlight's expansion and the rollout of new tech features, operational, care coordination, and clinical. 

Clinical Work: As the Clinical Team Lead, the clinician will have a reduced billed-hour expectation based on the Team Lead Adjustment Table (provided in a separate document). Billed hour goals and expertise in clinical workflows, Electronic Health Record (Next Gen - EHR) processes, and clinical support programs must be maintained.  

This Role Will Evolve: To ensure Headlight remains flexible and can adapt to changing circumstances, this Clinical Team Lead Job Description may be amended or modified for various reasons, including, but not limited to, changes in organizational structure, legal requirements, industry standards, or business needs. Any modifications or amendments will be communicated to the employee in writing, and the employee is responsible for reviewing and acknowledging the changes promptly. Continued employment following the communication of any amendments or modifications implies the employee's acceptance of the revised terms. 
 
$10,000 - $10,000 a year
$10k per year stipend and reduced billed hour requirement based on team size
