Hello Neighbor is seeking a Direct Client Assistance (DCA) Coordinator to coordinate rent planning, budgeting, housing setup fulfillment, and other client and cash assistance administration across multiple refugee resettlement, employment and stabilization programs within the Hello Neighbor organization. Additionally, the DCA Coordinator will work closely with the Finance, Operations, and Volunteer teams to ensure timely and effective execution of client assistance needs. 

By collaborating across all Hello Neighbor departments, the DCA Coordinator facilitates efficient access to cash and other client assistance while program clients pursue economic self-reliance. The DCA Coordinator will work across programs and finance teams to ensure proactive rent planning, household budget creation, client education, and ongoing cash and other client assistance administration. 

Founded in 2017, Hello Neighbor works to improve the lives of recently resettled refugee families by matching them with dedicated neighbors to guide and support them in their new home. We’ve expanded from our mentorship program to now include refugee resettlement services, family service programs, a national program supporting other refugee and immigrant nonprofits around the country. 

This is an in-house full-time, limited term non-exempt position at our Pittsburgh, PA office in Larimer through September 30, 2024, with the possibility of extension. We are currently on a hybrid work schedule of 9am-5pm Monday through Friday; in the office on Tuesdays, Wednesdays, and Thursdays and work-from-home on Mondays and Fridays. We require COVID-19 vaccination and a booster for full-time employees. The successful candidate must be currently authorized to work in the United States.

Reports To: Director of Finance 

Key Responsibilities

    • Coordinates regular rental direct client assistance and benefits meetings across key programs, ensuring cross-enrollment and collaboration as needed to provide maxim client support and best outcomes
    • Maintains accurate and up-to-date database of client cash and other benefits assistance programs (tracking applications, rental costs and payment info etc.) as well as accurate address and contact information
    • Manages financial payments and communications after lease signing with landlords; leads the rental payment request process internally and ensures payments are issued externally 
    • Orchestrates payment of cash assistance and other client disbursements with accurate financial tracking
    • Provides programs with at least monthly reports of DCA funds available for use and is available for program questions related to DCA budgets
    • Identifies additional DCA funding needs to Development department
    • Identifies need for additional policies and procedures and develops in partnership with Director of Finance
    • Leads Cultural Orientation and workshops for clients about rent payments and budgeting, and ensures programs reinforce this information with clients
    • Partners with employment on individualized client budgets
    • Provides training to program staff on client conversations about the timelines of assistance
    • Conducts monthly audit of rent plans, budgets, and cash assistance for clients
    • Develops a comprehensive understanding of available client assistance resources across multiple Hello Neighbor programs and funding sources
    • Works with program colleagues to identify and assess client eligibility for assistance
    • Performs administrative tasks, including maintaining accurate and timely case notes, updating client case files per program requirements, filing documentation, and completing data entry in the Matching Grant and other databases
    • Responds to monitoring and audit requests, in consultation with the program staff and the Finance team
    • Participates in regular supervision meetings and relevant staff meetings
    • Adheres to Hello Neighbor’s confidentiality guidelines and ensures the appropriate handling of sensitive information
    • Other duties as assigned within the scope of position expectations

Preferred Qualifications

    • 2-4 years (or more) of related education and/or experience (social case work, refugee resettlement, administrative experience, etc.)
    • Familiarity with Resettlement & Placement, Matching Grant, Office of Refugee Resettlement, and/or other resettlement or public benefits programs a plus
    • Bilingual or multilingual in priority language a plus (Dari, Pashto, Arabic, Swahili, French, Spanish, Haitian-Creole, Rohingya)
    • Demonstrated strong interpersonal skills, characterized by compassionate, courteous, cordial, and professional interactions with diverse colleagues, program members, and the community
    • Possesses cultural competencies, encompassing knowledge, attitudes, and behaviors relevant to the communities served
    • Thorough understanding of issues pertinent to refugees and immigrants
    • Able to cultivate excellent relationships with clients, staff, and partners
    • Exhibits adept task management, including priority setting, meeting deadlines, and efficient time scheduling for multiple responsibilities
    • Digital literacy and the ability to learn new software
    • Flexibility and ability to work nights and weekends as necessary
    • Effective collaboration with others through cooperative efforts
    • Willingness to work in a fast-paced, multicultural environment

Additional Details

    • This is limited-term full-time non-exempt position at our Pittsburgh office in the Larimer neighborhood; position runs through September 30, 2024, with the possibility of extension
    • Clearances required: Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal History Clearance, Federal Bureau of Investigations (FBI) Criminal History Clearance (PA Act 23 & Act 24); Mandatory Reporter and/or PSEA training may also be required depending on job requirements
    • We require COVID-19 vaccination and a booster for full-time employees
    • Valid driver’s license preferred [for use of company vehicle]

    • Compensation: $19-21 per hour, payable bi-weekly
    • If position is extended beyond 09/30/2024, benefits - including medical/dental/vision insurance and paid time off - will be available
