Hello Neighbor is seeking a proactive and highly organized Grants Manager to join our team. This role is essential to sustaining and expanding our impact by managing a portfolio of federal and private grants. The Grants Manager will oversee the full grant lifecycle—from researching and identifying funding opportunities to drafting proposals, submitting applications, and managing reporting timelines. They will also maintain an accurate grants calendar, track deadlines, and ensure timely submissions.

The ideal candidate is a strong writer with experience in grant writing, reporting, and data management. They are tech-savvy, detail-oriented, and capable of coordinating cross-functional input. A background in program evaluation and/or database administration is a plus, as is familiarity with the nonprofit funding landscape.

Founded in 2017, Hello Neighbor empowers refugees and immigrants through community connections, helping them move from arrival to belonging with dignity, cultural sensitivity, and meaningful support. Our work is organized across three departments—Education & Community Empowerment, Health & Stabilization, and Employment—each running programs designed to meet the unique needs of the communities we serve. In addition to our local work, we lead a National Network of grassroots organizations across the U.S., united by a shared commitment to supporting refugee and immigrant families and inspiring long-term change.

Reports To: Development Supervisor

Key Responsibilities


    • Grant Research & Identification
    • Research and identify grant opportunities from foundations, corporations, government agencies, and other funding sources.
    • Assess alignment between funding opportunities and Hello Neighbor’s mission, programs, and strategic priorities.
    • Maintain a centralized database of grant prospects, deadlines, and application guidelines.

    • Grant Proposal Development
    • Collaborate with program and development staff to prepare and submit high-quality grant proposals, including narratives, budgets, timelines, and evaluation plans.
    • Coordinate with non-program departments to ensure proposals align with organizational goals and fundraising strategy.
    • Track proposal statuses and maintain complete and accurate application records.

    • Grant Management & Compliance
    • Oversee the full lifecycle of awarded grants, including agreements, deliverables, deadlines, and funder communications.
    • Maintain and regularly update a grants calendar and dashboard to monitor active, pending, and prospective opportunities.
    • Work with program staff to gather data and submit timely, accurate funder reports.
    • Stay informed on requirements for government grant submissions and contracts at the federal, state, and local levels.

    • Salesforce Data Management
    • Maintain accurate grant records in Salesforce, ensuring data consistency and integrity.
    • Develop and enforce data entry protocols and standardized fields for grant tracking.
    • Generate customized reports and dashboards to monitor grant performance.

    • General Responsibilities
    • Join supervision and staff meetings to support team coordination and learning.
    • Follow our confidentiality policies and handle sensitive information responsibly.
    • Carry out other duties as assigned, in line with the role’s purpose and goals.

Preferred Qualifications

    • 3+ years of experience in grant writing and/or grant management.
    • Strong organizational skills and proficiency with data management, program evaluation, and digital tools (e.g., Notion, Google Sheets, Salesforce, or similar).
    • Skilled at managing competing priorities and meeting deadlines efficiently.
    • Comfortable collaborating with cross-functional teams in a compassionate and professional manner.
    • Committed to equity and aligned with Hello Neighbor’s mission and core values.

Additional Details

    • Employment Type: Full-Time (9am–5pm) | Non-Exempt
    • Work Schedule: Hybrid – In-office Tuesday to Thursday
    • Location: Larimer, Pittsburgh, PA
    • Compensation: $23.75–$24.10/hour 
    • Comprehensive benefits package includes: medical/dental/vision insurance for employees and dependents (75% employer-paid), generous PTO policies, paid holidays, and participation in employer-sponsored retirement savings with employer match (after 12 months of employment).
