Hello Neighbor is looking for a dedicated Volunteer Coordinator to join our development team. In this role, you'll collaborate closely with staff to identify volunteer needs, recruit and train new volunteers, and match them to roles that align with their skills and interests. Your efforts will play a vital role in supporting refugee and immigrant families in the Pittsburgh community. 

As the Volunteer Coordinator, you'll be responsible for developing and maintaining a robust volunteer program that aligns with Hello Neighbor's mission. You'll work hand-in-hand with staff to identify volunteer needs and ensure effective placement of volunteers in various roles. Your role will involve recruiting, training, and supervising new volunteers, as well as fostering strong relationships with our volunteer base through effective communication and engagement initiatives.

Founded in 2017, Hello Neighbor works to improve the lives of recently resettled refugee families by matching them with dedicated neighbors to guide and support them in their new home. We’ve expanded from our mentorship program to now include refugee resettlement services, family service programs, a national program supporting other refugee and immigrant nonprofits around the country. 

This is a regular, full-time exempt in-house position at our Pittsburgh, PA office in Larimer. We are currently on a hybrid work schedule of 9am-5pm Monday through Friday; in the office on Tuesdays, Wednesdays, and Thursdays and work-from-home on Mondays and Fridays. We require COVID-19 vaccination and a booster for full-time employees. The successful candidate must be currently authorized to work in the United States.

Reports To: Director of Development

Direct Reports: Hello Neighbor volunteer; possible intern and AmeriCorp volunteer supervision.

Key Responsibilities

    • Collaborates with Hello Neighbor staff to identify volunteer needs and align them with organizational goals, which includes attending other departmental meetings and scheduling zoom, phone, and in-person meetings to stay up-to-date with rapidly changing direct service department needs
    • Recruits, trains, and supervises new volunteers, including bi-weekly information sessions, quarterly Smart Start volunteer trainings, volunteer interpreter trainings, and updating digital materials including written guides and training videos
    • Matches volunteers to a variety of roles based on their qualifications and interests; fields and shares 10+ volunteer needs per week via email and text messages to varying groups
    • Ensures effective communication and maintains relationships with volunteers including: prepping communication before volunteering, availability during, and follow up afterwards; thank-you notes, emails, and in-person events. 

    • Data Management:
    • Develops and maintains an up-to-date database of volunteer information, including availability, skills, language, and status of background checks and clearances
    • Tracks monthly volunteer hours, completes biannual analytical reports about volunteering trends, and shares out annual volunteer survey
    • Collaborates with other staff and consultants to prepare volunteer data for a transition to Salesforce

    • Community, Corporate, and Interfaith Coordination:
    • Manages and maintains community partnerships that directly relate to volunteer roles (e.g. libraries, clothing closets, FreeRide Pittsburgh, Goodwill)
    • Conducts outreach to churches, synagogues, mosques, and other religious institutions as well as corporate responsibility and community engagement departments.
    • Speaks at events and represents Hello Neighbor in the community.
    • Fosters partnerships and collaborative initiatives with interfaith organizations to support refugees and immigrants.

    • In-Kind: 
    • Fields and facilitates donation drives, including by maintaining accurate guidelines and information in official Hello Neighbor documents and on the website and LittleGreenLight 
    • Collaborates with operations team to set bi-weekly work plan for volunteers who maintain the storage space

Preferred Qualifications

    • Demonstrated strong interpersonal skills, characterized by compassionate, courteous, cordial, and professional interactions with diverse colleagues, program members, and the community
    • At least two years' prior experience in volunteer management, or equivalent combination of education and experience to perform the key responsibilities of the role as described above
    • Possesses cultural competencies, encompassing knowledge, attitudes, and behaviors relevant to the communities served
    • Thorough understanding of issues pertinent to refugees and immigrants
    • Able to cultivate excellent relationships with clients, staff, and partners
    • Exhibits adept task management, including priority setting, meeting deadlines, and efficient time scheduling for multiple responsibilities
    • Digital literacy and the ability to learn new software
    • Flexibility and ability to work nights and weekends as necessary
    • Effective collaboration with others through cooperative efforts
    • Willingness to work in a fast-paced, multicultural environment
    • Valid driver’s license required; personal vehicle with proof of insurance preferred
    • Alignment with and support of Hello Neighbor’s core values

    • Anticipated start date: May 20, 2024
    • Salary range: $42,000-$45,000 annually
