The Device Operations Associate plays a key role in supporting the deployment, tracking, and ongoing management of hardware devices critical to HHAeXchange’s service delivery. Reporting to the Device Operations Manager, this role is responsible for ensuring that devices are accurately provisioned, configured, shipped, and maintained to meet both internal and external needs.
This associate will work closely with cross-functional teams, including IT, Customer Support, and Implementation, to ensure devices are handled efficiently and in alignment with operational workflows. The ideal candidate is detail-oriented, process-driven, and eager to contribute to a growing function that supports a high-impact area of the business.
This role is a fully on-site position in our Bloomington, MN office.

Essential Job Duties
- Support relationships with fulfillment and shipping vendors to ensure accurate and timely device deliveries
- Help track compliance with state-level SLAs and flag issues that may impact performance targets
- Monitor inventory levels and assist in restocking efforts to maintain appropriate device supply
- Collaborate with Customer Success Managers (CSMs) to troubleshoot and resolve device-related issues
- Assist in reviewing new business requirements to ensure alignment with current device capabilities.
- Maintain regular reporting on device status, shipment tracking, and fulfillment performance for internal and external stakeholders
- Help identify ways to simplify device offerings and improve overall process efficiency.
- Follow and support established standard operating procedures (SOPs) for device provisioning, troubleshooting, and escalation
- Track device performance data and report potential issues or trends to the Device Operations Manager
- Coordinate with procurement and finance to ensure accurate tracking of device orders and associated costs
- Participate in process improvement initiatives to enhance operational efficiency and customer satisfaction
- Stay informed about basic device trends and tools to support ongoing improvements
- Assist in training new team members on device handling, fulfillment systems, and workflows
Other Job Duties
- Stretch Goal: Lead the strategic initiative to consolidate multiple device models into a streamlined set of offerings, simplifying management and improving operational efficiency
Travel Requirements
- Travel up to 10%, including overnight travel
Required Education, Experience, Certifications and Skills
- 2+ years of experience in device operations, logistics, supply chain management, or a related field, with proven success managing third-party vendors and meeting service level agreements (SLAs).
- Strong project management skills, with a demonstrated ability to drive process improvements, manage inventory, and optimize supply chain operations.
- Excellent communication and collaboration skills, with experience working cross-functionally with customer success, IT, and product teams.
- Analytical mindset with the ability to develop, interpret, and present reports for both internal stakeholders and external state partners.
- Proactive problem-solver with a strong customer-facing presence, capable of influencing business contracts and delivering exceptional service.
The base wage for this US-based, full-time, and non-exempt position is $28/hour, not including variable compensation. An employee’s exact starting salary will be based on various factors including but not limited to experience, education, training, merit, location, and the ability to exemplify the HHAeXchange core values.
